Responsibilities

Greet visitors and clients warmly, ensuring they feel welcome and attended to promptly
Manage multi-line phone systems efficiently, directing calls to the appropriate departments or personnel
Handle scheduling, calendar management, and appointment setting using productivity software such as Microsoft Office and Google Workspace
Perform data entry tasks with accuracy, maintaining detailed records in spreadsheets and filing systems
Assist with clerical duties including proofreading documents, managing correspondence, and preparing Word processing materials
Support office management activities such as organizing files, maintaining supplies, and overseeing general administrative tasks
Provide excellent customer service by addressing inquiries via phone or in person with professionalism and courtesy

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, spreadsheets, and communication
Strong computer literacy with the ability to quickly adapt to new software or technical tools like QuickBooks for bookkeeping or data management
Excellent phone etiquette with experience operating multi-line phone systems for effective communication
Bilingual abilities are highly valued to assist diverse client needs and enhance client communication
Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
Previous office experience including clerical work, data entry, filing, and general administrative support
Knowledge of office management practices along with familiarity in handling customer support or front desk responsibilities
Strong typing skills with attention to detail for proofreading documents and managing correspondence effectively
Time management skills that enable prioritization of tasks to maximize productivity throughout the workday
