Position Overview
Intrust HR is seeking an experienced Payroll & Benefits Consultant to manage payroll and employee benefits administration for multiple client organizations.
This is a hands-on consulting role for someone who can independently manage payroll and benefits processes while also serving as a knowledgeable and responsive advisor to clients. The consultant will work directly with client contacts, employees, payroll providers, benefits vendors, retirement plan providers, and government agencies.
The position owns assigned payroll and benefits processes from start to finish. An HR Coordinator will provide administrative support, and the consultant will remain actively involved in reviewing, processing, reconciling, troubleshooting, and communicating with clients.
Key Responsibilities
Payroll Administration
- Process accurate and timely payrolls for multiple clients, including multi-state payrolls
- Review payroll inputs, earnings, deductions, taxes, time records, and employee changes
- Audit payroll registers and reconcile payroll results before and after processing
- Research and resolve payroll errors, discrepancies, and employee questions
- Maintain payroll calendars and ensure payroll, funding, reporting, and filing deadlines are met
- Complete post-payroll reconciliations and reporting
- Coordinate the submission and funding of 401(k), HSA, FSA, and other payroll deductions
- Maintain accurate payroll records within payroll and HRIS platforms
- Assist with payroll implementations, system transitions, and client onboarding
Payroll Tax Compliance
- Open, maintain, and close federal, state, and local payroll tax accounts
- Support clients entering or exiting new payroll tax jurisdictions
- Monitor payroll tax filings and deposits for accuracy and timeliness
- Research payroll tax notices and discrepancies
- Work directly with payroll providers, state agencies, local jurisdictions, and taxing authorities to resolve payroll tax issues
- Track outstanding notices and ensure corrective actions are completed
- Support year-end payroll activities, including W-2 review and reconciliation
Benefits Administration
- Administer employee benefits for assigned clients
- Process new-hire enrollments, qualifying life events, benefit changes, and terminations
- Support COBRA administration and continuation coverage processes
- Coordinate open enrollment activities and employee communications
- Assist with benefit renewals and implementation projects
- Reconcile benefit deductions, carrier invoices, and eligibility records
- Support HSA, FSA, retirement plan, and other benefit funding processes
- Maintain accurate benefits records within payroll, HRIS, and benefits administration systems
- Respond to employee and client questions regarding eligibility, enrollment, deductions, and coverage
Compliance and Client Service
- Support ACA reporting and other payroll and benefits compliance requirements
- Serve as the primary payroll and benefits contact for assigned clients
- Provide clear, practical guidance regarding payroll and benefits matters
- Coordinate with the HR Coordinator to complete payroll and benefits tasks accurately and on time
- Manage multiple clients, priorities, and deadlines in a consulting environment
- Identify opportunities to strengthen internal controls, streamline processes, and improve the client experience
- Maintain confidentiality when handling employee, payroll, benefits, and financial information
- Assist with special payroll, benefits, compliance, and HR projects as needed
- Perform other duties reasonably related to the position and client needs, as assigned.
Required Qualifications
- At least seven years of payroll administration experience
- At least four years of employee benefits administration experience
- Significant experience processing multi-state payroll
- Strong knowledge of payroll taxes and federal, state, and local payroll compliance
- Experience opening and maintaining payroll tax accounts
- Experience researching and resolving payroll tax notices
- Experience completing payroll audits, reconciliations, and post-payroll reporting
- Experience with ACA reporting and COBRA administration
- Experience administering HSA, FSA, and retirement plan deductions and funding
- Strong understanding of payroll calendars, filing deadlines, and compliance requirements
- Proficiency with Microsoft Excel and payroll or HRIS platforms
- Excellent analytical, organizational, and problem-solving skills
- Exceptional attention to detail and commitment to accuracy
- Ability to independently manage multiple clients and competing deadlines
- Strong written and verbal communication skills
- Ability to commute to the Frisco, Texas office two days per week
Preferred Qualifications
- Experience working in outsourced HR, payroll services, consulting, accounting, or a professional employer organization environment
- Experience with Paylocity, ADP, Paycor, or similar payroll and HRIS platforms
- Certified Payroll Professional, CPP, certification
- SHRM-CP, SHRM-SCP, PHR, or SPHR certification
- Experience supporting payroll implementations or system conversions
- Experience reconciling benefit carrier invoices and payroll deductions

Compensation will be based on the selected candidate’s payroll, benefits, multi-state compliance, consulting, and systems experience.
