Lerch Bates is seeking a Marketing Coordinator to support proposal development, marketing initiatives, document design, and project coordination for our Architectural Design team. This role plays a critical part in creating polished, professional, and visually compelling client-facing materials while supporting business development and project delivery efforts.
As a Marketing Coordinator, you will collaborate closely with consultants, project managers, and leadership to develop proposals, qualifications packages, presentations, marketing collateral, and branded documents. You'll also help maintain and improve company templates, ensuring consistency, usability, and visual excellence across both internal and external communications.
This position is ideal for someone who combines strong graphic design skills with exceptional attention to detail and advanced Microsoft Word expertise. Our clients are architects, developers, engineers, and building owners who expect professional, thoughtfully designed deliverables. Proposal Development & Business Development Support
Support the preparation and submission of proposals, qualifications packages, RFP responses, RFQs, RFIs, and interview presentations
Coordinate proposal schedules, content collection, production, and final delivery
Format, edit, and produce high-quality documents using Microsoft Word, PowerPoint, Excel, Adobe InDesign, and related software
Maintain proposal content libraries, resumes, project profiles, and marketing assets
Assist with business development initiatives and pursuit tracking
Marketing, Branding & Graphic Design
Design and develop marketing collateral, brochures, project sheets, presentations, infographics, and other client-facing materials
Maintain and enhance company templates to ensure consistency, professionalism, and brand alignment
Create visually compelling documents that effectively communicate technical information
Support the development and maintenance of branded forms, reports, presentations, and internal resources
Collaborate with technical staff to transform complex information into polished, client-ready deliverables
Document Design & Quality Control
Serve as a subject matter expert for document formatting, layout, and visual presentation
Troubleshoot and improve Microsoft Word templates, styles, formatting standards, and document functionality
Perform quality control reviews of proposals, reports, presentations, and project documents
Ensure consistency in grammar, formatting, branding, graphics, and overall document quality
Maintain document standards and best practices across the department
Project Coordination & Administrative Support
Track project and proposal information within Deltek and other business systems
Support contract administration and project documentation activities
Assist with obtaining Certificates of Insurance (COIs) and project compliance documentation
Organize and maintain electronic project files and marketing resources
Support consultants, project managers, and leadership with project coordination and administrative needs
Assist with special projects and operational initiatives as assigned
Associate's or Bachelor's degree in Marketing, Graphic Design, Communications, Business Administration, English, Journalism, or a related field preferred
2+ years of experience in marketing coordination, proposal coordination, graphic design, business development support, or a related role
Advanced proficiency in Microsoft Word, including styles, templates, formatting, document automation, and large-document management
Experience creating professional client-facing documents, proposals, presentations, and marketing collateral
Proficiency with Adobe InDesign required; experience with Photoshop and Illustrator preferred
Strong visual design skills with an eye for layout, typography, branding, and presentation quality
Excellent business writing, editing, proofreading, grammar, and communication skills
Exceptional attention to detail and commitment to producing polished, high-quality work
Strong organizational skills with the ability to manage multiple deadlines and competing priorities
Intermediate proficiency in Microsoft PowerPoint, Excel, Outlook, and SharePoint
Experience with Deltek, CRM systems, proposal management platforms, or project management software preferred
Experience supporting architecture, engineering, construction (AEC), consulting, design, or professional services firms strongly preferred
Ability to work independently while collaborating effectively with cross-functional teams

This position is primarily performed in a professional office environment and requires regular interaction with employees, clients, vendors, and visitors.
