Full Job Description

High Country Oxygen is a locally owned and operated DME company serving patients throughout Summit and Eagle Counties. We are seeking a dependable, organized, and people-focused Medical Office & Operations Manager to oversee the day-to-day operations of our medical office and help lead our growing team.

This is an important role for someone who enjoys a combination of patient interaction, administrative responsibilities, insurance, order management, problem-solving, and team leadership.

Key ResponsibilitiesOffice & Team Management

Oversee the day-to-day operations of the medical office
Coordinate office workflow and ensure tasks are completed accurately and on time
Help train, support, and provide direction to office staff
Assist with scheduling and coordinating staff coverage
Monitor office procedures and identify opportunities to improve efficiency
Maintain a professional, organized, and welcoming office environment
Serve as a resource for staff when questions or problems arise
Help develop and maintain office procedures, workflows, and checklists

Patient Service

Answer and manage incoming phone calls and patient inquiries
Provide friendly, professional customer service to patients and caregivers
Communicate with patients regarding equipment, orders, insurance, billing, and documentation
Resolve patient concerns and help coordinate appropriate solutions
Follow up with patients and referral sources as needed
Maintain patient confidentiality and follow HIPAA requirements

Insurance & Order Intake

Review and process incoming medical equipment orders
Verify insurance coverage and patient benefits
Review documentation for completeness and identify missing information
Communicate with physician offices and referral sources regarding required documentation
Coordinate order intake from initial referral through fulfillment
Monitor pending orders and follow up on outstanding documentation
Work with billing staff and insurance companies as needed to resolve issues
Maintain accurate records in company systems

DME Operations

Coordinate the administrative side of oxygen, CPAP/PAP, and other DME services
Assist with equipment scheduling, deliveries, pickups, returns, and patient appointments
Coordinate communication between the office and field staff
Help ensure company procedures and payer requirements are followed
Assist with documentation and compliance-related projects
Track outstanding tasks and ensure orders and patient needs do not fall through the cracks

Qualifications

Previous medical office, healthcare, DME, insurance, or customer service experience preferred
Previous supervisory or management experience preferred
Strong organizational and time-management skills
Excellent verbal and written communication skills
Comfortable speaking with patients, physicians' offices, insurance companies, and coworkers
Strong attention to detail
Ability to prioritize multiple tasks in a busy environment
Comfortable learning insurance requirements, DME processes, and company software
Professional, dependable, and able to take initiative
Ability to handle sensitive patient information with discretion
Computer proficiency and willingness to learn new systems

Healthcare or DME experience is a plus, but we are willing to train the right person.

Job Type: Full-time

Pay: $28.00 - $35.00 per hour
