Quality Assurance Document Control Specialist

AS9100 — Aerospace Precision Machining

Department: Quality Assurance

Reports To: Quality Manager

Employment Type: Full-Time, Non-Exempt

Location: On-site — Manufacturing Facility

Position Summary

The Quality Assurance Document Control Specialist is responsible for administering the company’s quality management system (QMS) documentation and records in accordance with AS9100 requirements. This role manages the full lifecycle of controlled documents — including work instructions, inspection records, First Article Inspection (FAI) reports, and certificates of conformance — and ensures that all paperwork supporting the manufacture of precision aerospace machine parts is accurate, complete, traceable, and audit-ready. The ideal candidate combines meticulous attention to detail with hands-on familiarity with a machine shop or manufacturing floor environment.

Manufacturing Experience Requirement

Prior hands-on experience in a manufacturing environment is required. Candidates with a background in aerospace or medical device manufacturing — industries with comparably rigorous quality and traceability standards — are strongly preferred.

Key Responsibilities

Create, control, and maintain QMS documentation — work instructions, quality procedures, engineering drawings, and specifications — in compliance with AS9100 document control requirements.
Process, review, and route quality paperwork including in-process and final inspection records, certificates of conformance (C of C), and material test reports.
Complete, review, and file First Article Inspection (FAI) reports in accordance with AS9102 requirements for new and revised part numbers.
Manage document revision control, approval routing, distribution, and obsolete-document removal to ensure only current versions are in use.
Process engineering change orders (ECOs/ECNs) and update affected controlled documents, drawings, and records accordingly.
Maintain calibration records, training records, and other quality records in accordance with company and customer retention requirements.
Support the nonconformance and corrective action (CAPA) process by generating, tracking, and filing associated documentation.
Prepare and organize documentation packages in support of internal audits, customer audits, and AS9100 registrar surveillance/recertification audits.
Maintain both electronic and hard-copy filing systems, ensuring accurate indexing and quick retrieval of quality records.
Monitor the document control database/QMS software for data accuracy, completeness, and proper record linkage.
Coordinate with quality, engineering, planning, and production personnel to resolve documentation discrepancies.
Ensure compliance with customer-specific quality requirements and contractual flow-down clauses.

Qualifications

High school diploma or equivalent required; Associate degree in a related field preferred.
Minimum 2–4 years of experience in document control, quality assurance, or inspection support — required, and must have been performed in a manufacturing environment.
Experience within the aerospace or medical device manufacturing industries strongly preferred, due to the comparable rigor of AS9100 and ISO 13485 quality systems.
Working knowledge of AS9100 or ISO 9001quality management system requirements; familiarity with AS9102 First Article Inspection process strongly preferred.
Ability to read and interpret engineering drawings, blueprints, and GD&T (Geometric Dimensioning and Tolerancing) is a plus.
Proficiency with Microsoft Office (Word, Excel, Outlook) and experience with QMS or document control software
Exceptional attention to detail, organizational skills, and ability to manage a high volume of paperwork with accuracy.
Strong written and verbal communication skills; able to interface with quality, engineering, production, and customer representatives.
Ability to maintain confidentiality and handle export-controlled or proprietary documentation appropriately (ITAR awareness a plus for aerospace-focused facilities).
Must be US Citizen or authorized US worker for US Government ITAR contract compliance.

Work Environment & Physical Requirements

Primarily an office setting within or adjacent to an active manufacturing/machine shop floor.
Occasional exposure to a shop floor environment when verifying inspection records against parts in process.
Ability to sit for extended periods, use standard office equipment, and occasionally lift up to 20 lbs (e.g., document boxes, binders).
