Onboarding Transition Specialist

About the Role

The AmeriFlex Group is an innovative and growing wealth planning firm based in Las Vegas, NV. We are seeking an organized, proactive Onboarding Transition Specialist to lead and coordinate the onboarding of affiliating financial advisors and their teams. Serving as the central point of contact throughout each transition, this individual will build project plans, align internal and external stakeholders, manage timelines and risks, and create a clear, high-touch onboarding experience.

This role is ideal for someone who enjoys bringing structure to complex initiatives, managing multiple transitions at once, communicating across teams, and driving projects from kickoff through post-transition stabilization. Direct account processing is a limited component of the position; the primary focus is project leadership, coordination, visibility, and follow-through.

Key Responsibilities

Own multiple advisor onboarding and transition projects from kickoff through post-transition stabilization, serving as the primary point of contact for each office
Develop and maintain detailed project plans, timelines, milestones, task owners, dependencies, and success measures
Lead kickoff meetings, recurring status calls, training sessions, and project closeouts; communicate decisions, progress, and next steps clearly
Coordinate work across transitioning offices and internal partners, including Operations, Compliance, Registration and Licensing, Technology, and Training
Monitor project health in Docupace, Asana, Redtail, and related systems; maintain accurate status updates, dashboards, documentation, and action logs
Identify risks, bottlenecks, and resource conflicts early; resolve issues when possible and escalate with clear recommendations when needed
Manage advisor and staff readiness by coordinating system access, training, communications, documentation, and launch activities
Partner with processing teams to ensure account paperwork and transfers across NFS, Pershing, AssetMark, and other platforms remain on schedule; provide limited hands-on processing support when business needs require it
Ensure transition activities and deliverables meet compliance, documentation, and operational standards
Conduct post-transition reviews, capture lessons learned, and recommend improvements to workflows, templates, tools, and the overall advisor experience
Occasionally travel to transitioning offices for project coordination and on-site support

Qualifications

2–4 years of experience coordinating complex projects, onboarding programs, advisor transitions, or cross-functional initiatives within financial services
Working knowledge of financial services operations and platforms such as NFS, Pershing, or AssetMark; hands-on processing experience is helpful but not the primary focus of the role
Demonstrated ability to build project plans, manage milestones and dependencies, track risks, and drive accountability across multiple stakeholders
Experience with workflow or project management systems such as Asana, Docupace, Redtail, or comparable tools
FINRA licenses or ability to complete Series 7 and Series 66 within 12 months of hire
Bachelor’s degree preferred; project management training or certification is a plus
Strong analytical, problem-solving, facilitation, and decision-making skills
Excellent written and verbal communication skills, including the ability to provide concise updates to advisors and leadership
Self-starter who works well independently and collaboratively in a team environment
High level of professionalism with the ability to maintain strict confidentiality and integrity
