Job Overview

Office & Project Coordinator

Windows & Doors Store

We are a growing window and door company looking for an organized, dependable Office & Project Coordinator to help keep our customers, projects, and office running smoothly.

This position is ideal for someone who enjoys staying organized, communicating with customers, and making sure projects continue moving from the sale through installation and completion.

Main Responsibilities

Answer phones and communicate with customers
Keep customer and project information updated in our CRM
Help coordinate permits, inspections, and project paperwork
Assist with scheduling installations
Track customer deposits, balances, and final payments
Help close out completed projects
Perform basic bookkeeping and organize invoices/receipts
Track sales commissions for payroll
Follow up on outstanding project items
Assist management with normal day-to-day office needs

Who We’re Looking For

We are looking for someone who is:

Organized and detail-oriented
Friendly and professional with customers
Comfortable using computers and learning CRM software
Good at following processes and keeping track of multiple projects
Dependable and able to work independently
Comfortable with basic numbers, billing, and bookkeeping

Experience in construction, home improvement, project coordination, bookkeeping, or office administration is a plus, but we are willing to train the right person.

We are seeking a dynamic and highly organized Office Coordinator to join our team! Duties

Oversee daily office operations, including front desk management and multi-line phone systems to ensure excellent customer service and client communication.
Manage calendars, schedule appointments, coordinate meetings, and organize events to optimize team productivity.
Supervise administrative staff and support team management efforts through training & development initiatives.
Handle vendor management tasks such as negotiating contracts, processing invoices using accounting software like QuickBooks, and maintaining vendor relationships.
Maintain accurate bookkeeping records, perform basic accounting functions, and assist with budgeting and financial reporting.
Manage confidential information with discretion while ensuring compliance with company policies and procedures.
Support human resources functions including onboarding new employees, managing payroll processes, and handling employee records.

Skills

Proven experience in office management or administrative roles with strong clerical skills.
Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) along with proficiency in spreadsheets and other financial software such as QuickBooks or similar accounting tools.
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
Strong communication skills for client interaction, team coordination, and vendor negotiations.
Demonstrated experience in event planning, scheduling management, and vendor oversight.
Supervising experience with a focus on team management and staff development.
Knowledge of bookkeeping, payroll processing, budgeting, and basic accounting principles.
Ability to handle confidential information professionally while maintaining high levels of accuracy.
Technical proficiency in office equipment such as multi-line phones, fax machines, and office software systems.
Exceptional customer service skills paired with phone etiquette and professional demeanor at the front desk.

Pay: $22.00 - $28.00 per hour
