Job Summary
This position is responsible for providing essential administrative support within the Wealth Management & Trust department to Wealth Advisors, Director of Wealth Management and Trust, and Investment Management. The position will focus on client services, fiduciary administration, and operational efficiency.
Duties and Responsibilities:
Key Responsibilities:
Client Service, Account Administration and Administrative Support
- Serve as the primary point of contact for client communications, ensuring timely and accurate responses.
- Prepare performance reports for client meetings and monthly reporting cycles.
- Draft client correspondence and materials for review and signature.
- Respond to inquiries regarding account balances and activity; refer tax, investment, or legal questions to appropriate specialists.
- Greet clients and visitors; handle incoming calls and messages.
Fiduciary and Compliance Support
- Initiate and process cash distributions, including preparation of Discretionary Distribution Requests for committee approval.
- Monitor discretionary distributions annually and provide reporting for court accounting.
- Access SEI Trust Accounting System to generate reports for accounts and departmental needs.
- Assist with research and problem resolution related to trust accounts.
- Provide backup support for annual tax protocols and related transactions.
Annual Tax Protocol
- Assist with coordination of annual tax reporting processes as needed.
- Support distribution of tax documents (1099s, K-1s) and maintain tracking systems.
Education and Experience:
- Associate degree, bachelor’s degree preferred from an accredited college and/or University preferably in business, finance, law, or accounting, (comparable work experience will be considered).
- 2-3 years of administrative assistant experience, with an emphasis on wealth management, trust services, customer service, or banking.
Skills and Abilities Required:
Professional communication skills (phone and email), and a genuine interest in serving clients. Accuracy in processing requests, attention to detail, the ability to multi-task and meet deadlines in a fast-paced environment. Strong organizational and problem-solving skills. High confidentiality regarding sensitive information.
