Full Job Description

Position Summary

The Business Office Director is responsible for overseeing all business operations of a multi-provider ophthalmology practice, ensuring financial performance, operational efficiency, regulatory compliance, and exceptional patient service. This role requires strong expertise in medical billing claims management, revenue cycle management (RCM), credentialing, financial reporting, staff leadership, and ophthalmology practice operations.

The ideal candidate is a results-driven healthcare leader with extensive experience managing physician practice business functions, optimizing revenue, improving operational workflows, and leading high-performing teams.

Essential Duties and Responsibilities

Revenue Cycle Management (RCM)

Direct and oversee all aspects of the revenue cycle, including charge capture, coding review, claim submission, payment posting, denials management, appeals, collections, and accounts receivable.
Monitor key performance indicators (KPIs) related to billing, collections, reimbursement, and cash flow.
Ensure timely and accurate submission and follow-up with commercial, government, and specialty payers with our RCM partners.
Collaborate with providers , scribes and billing staff to resolve coding and reimbursement issues.

Medical Billing and Claims Management

Oversee billing operations to ensure compliance with payer requirements and healthcare regulations.
Manage denied claims, appeals, underpayments, and payer disputes.
Review claims management, payments and timely filings daily . Conduct regular audits to ensure billing accuracy and compliance.

Financial Management and Reporting

Prepare and analyze monthly, quarterly, and annual financial and operational reports. Present to the CEO.
Develop dashboards and KPI reports utilizing advanced Excel and reporting tools.
Monitor practice performance metrics including collections, payer mix, productivity, reimbursement trends, and financial forecasting.
Perform reconciliation reporting related to bank deposits, payment postings, accounts receivable, and vendor invoices.
Support budgeting, financial planning, and operational decision-making.

Credentialing and Provider Enrollment

Support all physicians and provider credentialing, recredentialing, and payer enrollment activities. Partner with PPN.
Ensure providers maintain active participation with contracted insurance plans.
Monitor credentialing deadlines and maintain compliance with regulatory requirements.
Coordinate with payers and credentialing vendors to resolve enrollment issues. Partner with PPN

Vendor and Payer Relationship Management

Maintain strong relationships with insurance carriers, billing vendors, clearinghouses, technology partners, and other service providers.
Negotiate contracts and service agreements when appropriate.
Evaluate vendor performance and implement improvements to optimize operational efficiency.
Serve as the primary liaison for payer-related issues and escalations.

Leadership and Staff Management

Provide leadership, coaching, and performance management for billing office staff.
Train, develop, and retain high-performing employees.
Establish performance expectations and accountability measures for staff.
Foster a culture of teamwork, professionalism, customer service, and continuous improvement.
Conduct regular team meetings and performance reviews.

Operational Oversight

Develop and implement policies, procedures, and workflow improvements.
Ensure compliance with HIPAA, Medicare, Medicaid, commercial payer regulations, and practice policies.
Collaborate with physicians and executive leadership to support strategic initiatives and organizational goals.
Partner with Nurse Manager Director when needed. Assist clinic manager and Office manager when needed.

Required Qualifications

Bachelor's degree in Healthcare Administration, Business Administration, Finance, Accounting, or related field preferred.
Minimum 5-7 years of healthcare practice management, medical billing, or revenue cycle leadership experience.
Minimum 3 years of supervisory or management experience.
Knowledge of ophthalmology practice operations preferred.
Strong understanding of medical billing, coding, reimbursement methodologies, and payer requirements.
Demonstrated expertise in Revenue Cycle Management (RCM).
Experience with physician credentialing and payer enrollment.
Advanced proficiency in Microsoft Excel, including pivot tables, financial analysis, and reporting.
Experience with practice management systems and electronic health records (EHR).
Strong analytical, problem-solving, organizational, and leadership skills.
Excellent communication and interpersonal abilities.
Knowledge of ASC, optical, or ancillary service operations is a plus.
