Position Summary

We're looking for a highly organized, detail-oriented self-starter to serve as the administrative backbone of Jet in a hands-on individual contributor role reporting directly to the CEO/President. You'll oversee the day-to-day accounting, compliance, and administrative functions that keep our business running smoothly. Primary Responsibilities
Accounting Operations
- Manage full-cycle accounts payable and accounts receivable.
- Process vendor invoices, customer billing, collections, and payment reconciliations.
- Prepare journal entries and account reconciliations and maintain the general ledger.
- Lead month-end and year-end closing processes.
- Maintain accurate and timely financial records.
Financial Reporting
- Prepare monthly financial statements and management reports.
- Maintain the chart of accounts and supporting accounting records.
- Support year-end tax preparation and external audits.
- Help ensure compliance with generally accepted accounting principles (GAAP) and internal financial controls.
Compliance & Business Administration
- Manage the company's ongoing compliance requirements, including sales and use tax coordination, business licenses, permits, insurance administration, OSHA documentation, and vendor and customer compliance records.
- Maintain a compliance calendar to ensure that filing, renewal, and reporting deadlines are met.
- Maintain organized business records, contracts, compliance documentation, and vendor and customer files.
- Prepare documentation for auditors, insurers, banks, and external advisors.
Administrative Operations
- Manage administrative relationships with banks, insurance providers, auditors, tax professionals, and key vendors.
- Reconcile company credit cards and banking activity.
- Coordinate day-to-day administrative activities with sound judgment and professionalism while working with minimal supervision.
Systems & Process Improvement
- Administer and maintain the company's ERP and accounting systems.
- Develop and improve standard operating procedures.
- Identify opportunities to improve processes, strengthen compliance, and increase operational efficiency.
Qualifications & Skills
- Associate or bachelor's degree in accounting, finance, or a related field preferred; equivalent professional experience will be considered.
- Five or more years of accounting or bookkeeping experience, preferably in a small-business environment.
- Strong knowledge of full-cycle accounting, including accounts payable, accounts receivable, reconciliations, month-end closing, and financial reporting.
- Experience with ERP or accounting software; Sage 100 experience is a plus.
- Proficiency with Microsoft 365 (Excel, Outlook, Word, Teams, and SharePoint), Adobe Acrobat, Paychex, CRM software, and other business applications.
- Excellent organizational, communication, and time management skills.
- Exceptional attention to detail with the ability to prioritize multiple responsibilities and work independently.
