Construction Administrator

Construction Administrator

Position Overview
The Construction Administrator supports project delivery by managing contract administration, documentation, and field coordination throughout the construction lifecycle. This role ensures accurate submittals, timely responses to RFIs, coordination of MEP activities, and adherence to project schedules and contract requirements to help deliver safe, on-time, and on-budget projects.

Key Responsibilities

Serve as the central point for contract administration: prepare, track, and maintain contracts, subcontracts, amendments, and insurance documentation.
Manage submittals, RFIs, and shop drawing workflows: review for completeness, route to design team, track status and expedite responses.
Coordinate MEP trade communication and field implementation to ensure system installations align with design intent and schedule.
Maintain and update project logs and records including daily reports, site journals, RFI and submittal logs, change order logs, punch lists, and meeting minutes.
Process and review pay applications and invoices in coordination with project managers and accounting; track contract quantities and change directives.
Support schedule maintenance by coordinating with superintendents and subcontractors to identify and resolve field issues affecting progress.
Facilitate inspections, testing, and commissioning activities with authorities having jurisdiction, testing agencies, and project teams.
Review shop drawings and submittals for compliance with contract documents and coordinate technical clarifications with engineers and vendors.
Assist with permit applications, closeout documentation, turnover packages, warranties, and as-built record compilation.
Enforce safety and quality standards by ensuring documentation is in place and communicating compliance requirements to the field team.
Communicate proactively with owners, architects, engineers, and subcontractors to resolve contract and field issues and escalate as needed.
Provide administrative support to project management including meeting coordination, document control, and distribution of construction correspondence.

Qualifications

Bachelors degree in Construction Management, Engineering, Architecture, or equivalent experience, or an Associates degree with 5+ years relevant experience.
3+ years of construction administration experience on commercial or industrial projects; experience with MEP coordination strongly preferred.
Proven field experience and the ability to perform regular site visits; comfortable interfacing with superintendents and subcontractors.
Working knowledge of construction contract documents (AIA, owner agreements), submittal/RFI/change order processes, and closeout procedures.
Proficient with construction management software (e.g., Procore, PlanGrid, BIM 360) and MS Office (Excel, Word, Outlook); experience with Bluebeam preferred.
Strong organizational skills with attention to detail and ability to manage multiple projects and priorities under deadline.
Excellent written and verbal communication skills; ability to prepare concise reports, meeting minutes, and correspondence.
Familiarity with MEP systems and sequencing, trade scopes, shop drawing review, and commissioning processes.
OSHA 10 or 30 certification preferred; valid drivers license and ability to travel to job sites as needed.
Administrative experience handling documentation, permitting, and invoice processing; ability to maintain accurate logs and records.
