About the School of Civil & Environmental Engineering at the Georgia Institute of Technology
The School of Civil and Environmental Engineering at Georgia Tech currently has over 650 undergraduate students, nearly 320 graduate students, 55 tenure-track faculty members, and 4 Professors of the Practice. Women comprise 50% of the undergraduate population, and more than 29% of the undergraduate student population identifies as a member of under-represented minority groups. Thirteen faculty members are women, and eight faculty members identify as a member of under-represented minority groups. Job Summary

The School of Civil and Environmental Engineering (www.cee.gatech.edu) at the Georgia Institute of Technology in Atlanta, Georgia, invites applications for an event coordinator. The Event Coordinator is responsible for planning and executing a diverse portfolio of academic, alumni, corporate, and special events that advance the mission and strategic goals of the department. This position manages all phases of event operations, including budgeting, logistics, vendor relations, sponsorship coordination, registration management, stakeholder communications, and on-site event execution. The successful candidate will demonstrate exceptional organizational skills, attention to detail, customer service, project management capabilities, and the ability to effectively manage multiple priorities in a fast-paced environment.

Responsibilities

Job Duty 1 -
Confer with event sponsors to determine scope and overall objectives associated with an event.

Job Duty 2 -
Based on client needs and facility availability determine resources required and prepare event schedule.

Job Duty 3 -
Make necessary facility reservations.

Job Duty 4 -
Arrange for any catering requirements, facility set-up, parking, security, etc. May coordinate attendee travel arrangements.

Job Duty 5 -
Design and create promotional/publicizing materials (print, website, etc.).

Job Duty 6 -
Manage and track event budgets/costs, and maintain associated reports.

Job Duty 7 -
Conduct follow-up to determine adequacy of services provided in support of event.

Job Duty 8 -
May be responsible for identifying prospective customers and generating revenue.

Job Duty 9 -
Perform other duties as assigned

Required Qualifications

Educational Requirements
High school diploma, GED certificate, or Vocational School Diploma

Required Experience
Four to five years of job-related experience

Preferred Qualifications

Preferred Educational Qualifications
Technical Diploma, Associate's Degree or two years college course work

PREFERRED QUALIFICATIONS

Experience planning and executing large-scale events involving faculty, students, alumni, industry partners, donors, sponsors, and external guests.

Three or more years of progressively responsible experience coordinating meetings, conferences, special events, alumni relations programs, academic events, corporate engagement activities, or executive-level events.

Experience negotiating and managing vendor relationships, contracts, venue agreements, catering services, and event logistics.

Experience managing multiple events simultaneously while meeting deadlines and maintaining high attention to detail.

Strong written and verbal communication skills with the ability to interact professionally with senior leadership, faculty, advisory board members, sponsors, alumni, and external partners.

Experience working in a higher education, nonprofit, research, or professional association environment preferred.

Knowledge, Skills, & Abilities

SKILLS
This job requires working knowledge and skills in event management. This includes skills in customer service, organizing, planning and scheduling. Use of business related computer applications is required.

Other Information

The successful candidate for this position will be responsible for the following:

Plan, coordinate, and execute a comprehensive portfolio of departmental events, including lectures, retreats, alumni events, advisory board meetings, recruitment programs, award ceremonies, appreciation events, and social gatherings. This will include managing all event logistics, venue selection and reservation, catering coordination, audiovisual requirements, event décor, room setup, transportation arrangements, and guest accommodations.

Develop and maintain detailed project plans and event timelines to ensure successful execution of multiple concurrent events and programs.

Coordinate event registration processes, RSVP tracking, attendee communications, and survey administration utilizing systems such as Qualtrics and other event management tools.

Serve as the primary liaison with faculty, staff, students, alumni, advisory boards, corporate sponsors, vendors, speakers, and external partners to facilitate event planning and execution.
