About the Job

Alon's Bakery & Market is seeking an experienced, organized, and guest-focused Catering Office Manager to oversee the daily operations of our catering office. This position is responsible for managing incoming catering orders, delivering exceptional customer service, increasing sales through thoughtful upselling, and ensuring every order is entered accurately and communicated effectively to our production and delivery teams.

The ideal candidate is highly organized, computer savvy, detail-oriented, and thrives in a fast-paced, high-volume environment. You must be able to handle a constant flow of phone calls, emails, online orders, and changing priorities while remaining calm, professional, and accurate.

Reports To: Catering Director

Responsibilities

Manage the daily operations of the Catering Office.
Supervise, train, and support one Catering Office Coordinator.
Answer incoming calls promptly and professionally, creating an exceptional first impression for every guest.
Receive and process online, phone, and email catering orders accurately and efficiently.
Build relationships with customers by providing menu guidance, answering questions, and recommending additional products to increase sales.
Review all orders for accuracy, pricing, special requests, delivery information, and payment details.
Print daily production reports, delivery schedules, invoices, and other operational reports as needed.
Coordinate with Production, Delivery, and Retail teams to ensure every order is executed accurately and on time.
Proactively communicate order updates or changes to customers and internal departments.
Resolve customer concerns quickly and professionally.
Maintain accurate customer records and catering information.
Stay current on menus, pricing, seasonal offerings, and promotions.
Continuously look for ways to improve customer service and office efficiency.
Handle a high volume of calls, emails, and orders while maintaining exceptional organization and accuracy.
Remain calm, organized, and solution-oriented during busy periods and rapidly changing priorities.

Qualifications

Previous office management, catering, restaurant, hospitality, or customer service experience required.
Strong sales skills with the ability to naturally upsell products and services.
Outstanding customer service and communication skills.
Professional phone etiquette.
Exceptional organizational skills and attention to detail.
Strong computer skills, including Microsoft Word, Excel, Outlook, and the ability to quickly learn new software.
Experience with Caterease or other catering software is preferred.
Proven ability to multitask and prioritize in a fast-paced, high-volume environment.
Ability to manage high call volumes without sacrificing customer service or accuracy.
Leadership experience supervising at least one employee preferred.
High School Diploma required; Associate's or Bachelor's degree preferred.
Ability to work weekends as business needs require.
Ability to lift up to 40 pounds.
