Full Job Description

The Patient Services Representative is often the first point of contact for our patients and plays an important role in creating a welcoming, efficient, and positive clinic experience. This position is responsible for patient registration, insurance verification, payment collection, phone communication, and coordination between patients and the clinical team.

Required Qualifications

High school diploma or equivalent.
Strong customer service and communication skills.
Ability to remain calm, professional, and courteous in a fast-paced healthcare environment.
Strong attention to detail and commitment to accuracy.
Ability to multitask, prioritize competing demands, and maintain a positive patient experience.
Basic computer proficiency and ability to learn electronic medical record (EMR), practice-management systems.
Ability to protect confidential patient information and comply with HIPAA requirements.
Reliable attendance and punctuality.
Ability to work independently and collaboratively as part of a clinical team.
Ability to communicate effectively with patients, providers, nurses, and other staff members.
Flexibility to support changing clinic needs, including opening and closing responsibilities and occasional schedule adjustments.

Preferred Qualifications

Previous experience in a medical office, urgent care clinic, hospital, or customer service environment.
Experience with patient registration, insurance verification, payment collection, or electronic medical record (EMR) systems.
Bilingual in English and Spanish is a plus.

Key Responsibilities

Greet patients promptly and professionally, creating a welcoming first impression.
Complete patient registration, demographic updates, insurance verification, and required documentation accurately.
Verify insurance eligibility and obtain necessary information for billing.
Collect copays, deductibles, self-pay balances, and other patient payments accurately.
Answer phones, respond to patient questions, and direct calls appropriately.
Coordinate with clinical staff to support efficient patient flow and clinic operations.
Maintain accurate patient records and ensure required forms and consents are completed.
Assist patients with billing, insurance, referrals, medical records, and other administrative questions within the scope of the position.
Maintain patient confidentiality and follow all HIPAA requirements and clinic policies.
Complete scanning, filing, faxing, and other front-office duties as needed.
Recognize situations requiring immediate attention and promptly notify clinical staff.
Interact calmly and compassionately with patients who may be experiencing pain, anxiety, frustration, or urgent medical concerns.
Communicate patient concerns, workflow issues, or operational problems to the appropriate manager.
Maintain a clean, organized, and professional front-desk environment.
Work efficiently during high patient volumes, unexpected surges, and changing clinic demands.
