Full Job Description

MADE Med Spa is seeking a friendly, professional, and highly organized Medical Spa Receptionist / Patient Coordinator to join our growing team. This individual will serve as the first point of contact for clients while helping create an exceptional patient experience from initial inquiry through treatment.

Key Responsibilities

Welcome and check in clients in a professional and warm manner.
Answer incoming phone calls, emails, text messages, and online inquiries promptly.
Schedule, confirm, and manage appointments using the spa's scheduling software.
Respond to new leads generated through referrals, website inquiries, social media, and marketing campaigns.
Conduct professional phone consultations and help prospective clients book consultations and appointments.
Follow up with prospective clients, cancellations, inactive clients, and consultation leads.
Explain services, treatment options, memberships, packages, skincare products, pricing, and promotions using approved information.
Process payments and maintain accurate financial records.
Verify intake forms and ensure patient information is accurate and up to date.
Coordinate with providers and staff to ensure smooth patient flow.
Manage client follow-up communications and appointment reminders.
Support retail skincare, membership, and package sales through education and personalized service.
Maintain accurate CRM/EMR notes, follow-up tasks, and client records.
Maintain a clean, organized, and inviting reception area.
Assist with administrative duties including filing, scanning, and data entry.
Support social media content, events, promotions, and client appreciation activities as needed.

Qualifications

3+ years of front desk, receptionist, patient coordinator, hospitality, or customer service experience.
3+ years of sales experience preferred, especially in aesthetics, medical spa, dermatology, plastic surgery, or luxury service industries.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Professional appearance and positive attitude.
Proficient with Microsoft Office and scheduling software.
Ability to maintain confidentiality and handle sensitive client information.
Comfortable discussing treatment options, memberships, packages, skincare products, pricing, and financing options.
Experience with aesthetic EMR, CRM, or spa management software preferred.

Preferred Skills

Knowledge of aesthetic treatments and professional skincare products.
Retail sales experience.
Experience converting leads into consultations and appointments.
Experience selling memberships, treatment packages, skincare products, or aesthetic services.
Experience with social media, photography, filming, Canva, or content creation.
Esthetics education or industry experience is a plus.

Pay: $20.00 - $30.00 per hour
