Full Job Description

The Director of Operations and Administration will play a central role in supporting the financial, investment, and administrative operations of an asset management company/family office. With a focus on day-to-day management of staff, supporting complex investments and program managing capital improvements and construction projects. Working closely with the Executive Team, and family principals, this individual will ensure the smooth functioning of financial, operational and construction processes across the Asset Management Company, Family Office and affiliated entities. The ideal candidate brings a background in commercial construction, with a specialization in capital improvement projects (as opposed to ground-up development).

We’re looking for a candidate who can demonstrate a blend of operational excellence, financial acumen, strategic vision, and a results-driven, hands-on mindset. Backgrounds in program management, financial planning & analysis in a commercial construction/improvement industry.

Key Responsibilities

Support the COO to strengthen operational systems, workflows, and governance processes.
Participate in the preparation of consolidated financial and investment reports for the family principals and advisors.
Collaborate with the CIO on investment reporting, analytics, and portfolio monitoring.
Support financial operations, including reporting, budgeting, liquidity planning and cash flow management for family entities and investments.
Oversee project scope, timelines and plans for construction-related work including pre-construction site assessments, review and interpret architectural drawings, blueprints and specifications.
Prepare and manage project budgets, construction costs, cost estimates and forecasts.
Oversee administrative operations, human resource levels, vendor relationships, and general office administration.
Uphold confidentiality, integrity, and discretion in all aspects of family and financial affairs.

Qualifications

Bachelor’s degree in Finance, Accounting, or Business; MBA, CPA, CFA, PMP or CCM preferred but not required.
7+ years of experience in project management, accounting/finance, or financial planning & analysis in a construction-related company.
Strong understanding of investment operations, entity structures, and financial reporting.
Advanced Excel and analytical skills; experience with investment or accounting systems a plus.
Proficiency with project scheduling tools such as MS Project, Precore or similar programs.
Exceptional organizational skills and ability to manage multiple priorities in a dynamic environment.
Proven ability to collaborate with senior executives, external advisors, and family principals.
