Job Title: Office Assistant

Position Summary

We are seeking a detail-oriented and dependable Office Assistant to support our financial and administrative operations. This role will be responsible for accounts payable, accounts receivable, payroll support, data entry, and general administrative duties. The ideal candidate will have a strong accounting background, excellent organizational skills, and the ability to maintain accuracy while managing multiple tasks in a fast-paced environment.

Essential Duties and Responsibilities

Accounts Payable

Process vendor invoices accurately and in a timely manner.
Verify invoices, purchase orders, and supporting documentation.
Prepare and issue payments to vendors.
Maintain vendor records and resolve discrepancies.

Accounts Receivable

Generate customer invoices and statements.
Record and reconcile incoming payments.
Monitor outstanding balances and assist with collections efforts.
Maintain accurate customer account records.

Payroll Support

Assist with payroll processing and timecard verification.
Maintain employee payroll records and documentation.
Ensure payroll information is entered accurately and confidentially.
Support compliance with payroll regulations and company policies.

Data Entry & Recordkeeping

Enter financial and operational data into accounting systems.
Maintain accurate electronic and physical records.
Review information for errors and correct discrepancies.
Generate reports as requested by management.

Administrative Support

Answer phones and respond to inquiries professionally.
Assist with filing, scanning, and document management.
Support office operations and special projects as needed.
Collaborate with management and team members to improve processes and maintain efficiency.

Qualifications

Required

Experience in accounting.
Strong data entry skills with a high level of accuracy.
Proficiency in Microsoft Office Suite, particularly Excel.
Strong attention to detail and organizational skills.
Excellent verbal and written communication abilities.

Preferred

Experience with accounting software such as QuickBooks, Sage, Foundation, Viewpoint, or similar systems.
Knowledge of payroll processing and employment tax regulations.
Experience working in a construction, manufacturing, or service-based business environment.
