Full Job Description

The Receptionist/Medical Assistant (MA) – supports safe, efficient, patient-centered care by performing both front-office reception and clinical medical-assistant duties in the outpatient setting. This position serves as a primary point of contact for patients, families, visitors, providers, and staff; provides prompt, courteous telephone and in-person service; supports patient registration, scheduling, payments, referrals, and clinic flow; and performs clinical duties within scope under the direction of licensed providers and clinic leadership. The Receptionist/MA rooms patients, obtains and documents vital signs and relevant histories, assists with examinations and minor procedures, performs ordered point-of-care testing and specimen collection, administers medications as delegated and permitted by policy, and provides patient education as directed. The position maintains accurate documentation, protects patient privacy, supports a clean and organized clinic environment, and follows all organizational safety, emergency, infection-prevention, and customer-service standards.

High School Diploma or GED required.
Graduate of an accredited Medical Assistant program preferred.
Current BLS certification required within 90 days of hire.
Previous medical office, receptionist, customer-service, admissions, or clinical experience preferred.
Ability to communicate professionally and courteously with patients, families, visitors, providers, and staff.
Ability to use electronic medical record (EMR), scheduling, telephone, paging, payment-processing, and other clinic systems accurately.
Knowledge of HIPAA, patient confidentiality, infection-prevention practices, and basic medical terminology preferred.
Ability to manage multiple priorities, maintain composure under pressure, and work effectively both independently and as part of a team.

Serve as the primary front-office contact for patients, families, visitors, and callers by providing prompt, courteous, professional, and compassionate customer service.
Answer incoming telephone calls promptly; obtain necessary information; transfer calls accurately; take complete messages; and route urgent clinical concerns to the appropriate provider, nurse, or department according to policy.
Greet patients and visitors, verify patient identity, provide clear directions, and assist with check-in, check-out, registration, scheduling, and follow-up appointment processes.
Collect, document, balance, and secure patient payments, receipts, cash drawer activity, and credit-card transactions accurately and in accordance with organizational policy.
Support clinic access and patient flow by managing schedules, coordinating referrals, monitoring provider messages, communicating delays, and assisting patients with forms, instructions, and follow-up needs.
Maintain working knowledge of emergency procedures, including appropriate hospital or clinic paging, radio-call systems, and notification protocols for emergency codes.
Provide direct patient care within scope, including rooming patients; obtaining and documenting vital signs, chief complaint, pain level, allergies, medication lists, and relevant medical history; and promptly reporting abnormal findings to the provider.
Prepare patients for examinations and minor procedures by assisting with gowning, positioning, patient comfort, privacy, and readiness of supplies, instruments, and equipment.
Assist providers during examinations and in-office procedures, including wound care, EKGs, specimen collection, basic dressings, and other duties delegated within the Medical Assistant scope of practice.
Perform ordered point-of-care testing and specimen collection, labeling, and processing in accordance with established procedures, infection-prevention practices, and chain-of-custody requirements.
Administer medications and immunizations as delegated by the provider and permitted by organizational policy, including verification of patient identity, allergies, medication information, lot numbers, expiration dates, and required documentation.
Reinforce provider-directed patient education regarding treatment plans, medications, follow-up care, referrals, and testing instructions while confirming patient understanding.
Document all patient interactions, clinical care, procedures, tests, medications, payments, scheduling actions, and communications accurately and timely in the EMR and other required systems.
Maintain a clean, safe, organized, and patient-ready environment through exam-room turnover, cleaning and disinfection of equipment, supply inventory, restocking, and appropriate disposal of waste.
Follow all safety protocols, exposure-control plans, infection-prevention measures, and PPE requirements, including hand hygiene and participation in required safety, competency, and annual education programs.
Protect the privacy and confidentiality of patient, employee, financial, and organizational information at all times in accordance with HIPAA and organizational policy.
Demonstrate respect, compassion, professionalism, and cultural sensitivity in all interactions with patients, families, visitors, coworkers, providers, and community partners.
Communicate effectively with clinic staff, hospital departments, providers, and leadership; use the appropriate chain of command to address concerns; and contribute to a positive, collaborative work environment.
Participate in staff meetings, quality-improvement activities, workflow improvements, and training as assigned.
Behave and dress in a professional and courteous manner consistent with the facility’s Standards of Behavior.
Perform other duties as assigned.
