Job Overview
We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. As an Office Assistant, you will be the first point of contact for visitors and callers, manage administrative tasks, and support office management functions to ensure an efficient workplace. Your positive attitude and proactive approach will contribute significantly to our team’s success and create a welcoming environment for clients and staff alike.

Duties

Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately
Handle data entry, filing, and document proofreading to maintain accurate records and correspondence
Assist with calendar management, scheduling appointments, meetings, and coordinating office events
Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking
Maintain office supplies inventory, order necessary materials, and organize workspaces for efficiency
Provide exceptional customer support by addressing inquiries promptly via phone or email while practicing proper phone etiquette
Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools to prepare reports, presentations, and correspondence
Support office management activities including organizing files, managing incoming mail, and ensuring compliance with company policies
Assist with clerical duties such as photocopying, scanning documents, and proofreading materials to ensure accuracy

Qualifications

Proven experience in an office environment with strong clerical skills and organizational abilities
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with QuickBooks or other bookkeeping software is highly desirable
Excellent communication skills to serve clients effectively
Strong computer literacy with the ability to learn new software quickly
Experience with professional phone etiquette
Demonstrated ability to handle data entry accurately while maintaining attention to detail
Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Personal assistant experience or background in office management is advantageous
