Job Summary

We are seeking a dynamic and organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Duties

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Handle data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and records
Support office management activities by coordinating schedules, managing supplies, and assisting with administrative projects
Provide exceptional customer service by responding promptly to inquiries and supporting client communication efforts
Assist with bookkeeping tasks using QuickBooks or similar accounting software to process invoices and track expenses
Perform general clerical duties including proofreading documents, preparing reports, and managing correspondence efficiently

Requirements

Proven office experience with strong computer literacy and proficiency in Microsoft Office applications (Word, Excel, Outlook)
Experience with data entry, filing systems, and administrative support tasks in a professional setting
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Strong communication skills, both verbal and written; bilingual ability is a plus for diverse client interactions
Familiarity with multi-line phone systems and phone etiquette to handle high call volumes gracefully
Technical proficiency in office management tools such as spreadsheets, productivity software, and customer support platforms
Previous experience in customer service or front desk roles demonstrating professionalism and interpersonal skills
Personal assistant or clerical experience is advantageous but not required; a proactive attitude is essential
