Full Job Description

Join Our Team

Metro Property Management is seeking a detail-oriented, organized, and customer-focused Bookkeeper / Association Property Manager to support the financial and day-to-day operations of condominium and homeowners associations.

This position is ideal for someone who enjoys bookkeeping, accounting, and customer service. The majority of the role focuses on managing the financial records of multiple associations, while also serving as a point of contact for homeowners, board members, and vendors. Previous property management experience is helpful but not required—we are happy to train the right candidate.

Primary ResponsibilitiesAccounting & Bookkeeping (Primary Focus)

· Process vendor invoices and ensure proper coding to the general ledger.

· Prepare payments for board approval and process approved vendor payments.

· Apply homeowner HOA fee payments to owner ledgers.

· Research and resolve payment discrepancies.

· Monitor accounts receivable and assist with collection activities, including late notices and coordination with collection attorneys when necessary.

· Reconcile bank accounts and investment accounts.

· Prepare journal entries and monthly account reconciliations.

· Track reserve transfers and other recurring financial transactions.

· Maintain accurate financial records for multiple associations.

· Assist with annual budgets, audits, tax preparation, and year-end financial reporting.

· Prepare comprehensive monthly financial reporting packages for Board of Directors meetings, including:

o Balance Sheet

o Statement of Revenues & Expenses

o Budget Comparison

o Cash Reports

o Delinquency Reports

o Check Register

o Bank Reconciliations

o Supporting schedules and financial analysis

Property Management Responsibilities

· Serve as the primary contact for assigned condominium and homeowners associations.

· Respond professionally to homeowner, board member, and vendor inquiries by phone and email.

· Coordinate maintenance requests and work with vendors to ensure timely completion.

· Obtain vendor proposals and schedule repairs when authorized.

· Follow up on outstanding maintenance issues until resolved.

· Prepare correspondence for homeowners and boards.

· Assist boards with implementing policies and enforcing association governing documents, including declarations, bylaws, and rules & regulations.

· Attend occasional board meetings (virtual or in person) as needed.

· Maintain organized electronic records and documentation.

QualificationsRequired

· Experience with bookkeeping or accounting.

· Strong attention to detail and organizational skills.

· Excellent written and verbal communication.

· Ability to manage multiple priorities and deadlines.

· Strong customer service skills.

· Proficiency with Microsoft Excel, Outlook, and Word.

· Ability to work independently while collaborating with a team.

· High level of professionalism and discretion with confidential financial information.

Preferred (Not Required)

· Experience in property management.

· Experience with homeowners’ associations (HOAs) or condominium associations.

· Experience with accounting software such as Buildium, QuickBooks, AppFolio, or similar platforms.

· Understanding of financial statements and general ledger accounting.
