Are you a people person who enjoys solving problems, staying organized, and making someone’s day a little easier? We’re looking for a Front Office Coordinator to join our team!

In this role, you’ll be a key part of the customer experience and the day-to-day operation of our business. You’ll communicate with customers, schedule appointments, coordinate important details of jobs, help resolve concerns, and work closely with our team to make sure everything runs smoothly from start to finish. If you’re friendly, dependable, detail-oriented, and enjoy a role where every day brings something different, we’d love to meet you!

What You’ll Do

Connect with customers by phone, email, and chat, providing friendly and professional support.
Answer questions and provide solutions with accurate information about our products and services.
Schedule and coordinate customer appointments using Housecall Pro, helping ensure schedules stay organized and customers know what to expect.
Coordinate key aspects of jobs by communicating with customers and team members, gathering necessary information, and helping keep jobs moving smoothly.
Follow up with customers through outbound calls to gather feedback, address concerns, and ensure issues are resolved.
Maintain accurate customer and job records using Microsoft Office and other software tools, keeping information organized and up to date.
Work closely with team members to coordinate service needs, improve communication, and create a seamless customer experience.
Support the day-to-day operation of the office by helping manage communications, organizing information, assisting with internal requests, and keeping tasks moving forward.
Assist with a variety of administrative and customer service needs as they arise, helping the team stay organized and efficient.
Take on additional responsibilities as needed and contribute wherever you can make an impact.

What We’re Looking For

High school diploma or equivalent.
Strong English communication skills.
A customer-first attitude and a genuine desire to help others.
Excellent verbal and written communication skills with professional phone etiquette.
Previous customer service, client services, scheduling, dispatch, or call center experience is a plus.
Comfortable using Microsoft Office and other computer software.
Strong typing and data entry skills.
Excellent organizational skills and the ability to manage multiple appointments, tasks, and priorities.
Ability to stay organized, professional, and solution-focused when managing a variety of customer and office needs.
A positive, dependable team player who is ready to jump in and help.
