Job Summary:
The Patient Collections Specialist is responsible for driving patient revenue by actively managing and resolving outstanding patient balances. This role serves as a key contributor to the organization’s financial performance by ensuring timely patient payments, establishing payment plans, and reducing accounts sent to collections.
This position requires a proactive, results-driven individual who is comfortable discussing financial responsibility with patients and confidently requesting payment. In addition to collections, the role supports broader Business Office operations, including insurance follow-up, account resolution, and revenue cycle workflows.
Key Responsibilities Patient Collections (Primary Focus)
- Proactively contact patients via phone to collect outstanding balances and secure payments.
- Clearly communicate financial responsibility and confidently request payment at the time of contact.
- Establish and monitor payment plans in accordance with clinic policies.
- Work assigned patient account queues daily, prioritizing aged balances and high-dollar accounts.
- Reduce accounts sent to outside collections through consistent follow-up and resolution efforts.
- Document all collection activity thoroughly and accurately in the practice management system.
- Identify barriers to payment and take appropriate action to resolve.
Accounts Receivable & Insurance Follow-Up
- Perform follow-up on insurance claims to ensure timely reimbursement.
- Investigate and resolve claim denials, rejections, and underpayments.
- Coordinate with payers to determine claim status and take corrective action.
- Review accounts for accuracy including charges, payments, and adjustments.
- Collaborate with internal teams to resolve billing discrepancies.
Patient Account Management
- Respond to patient inquiries regarding balances and billing.
- Educate patients on financial responsibility and payment options.
- Resolve account disputes with a solutions-oriented approach.
- Maintain accurate documentation.
Business Office Support Functions
- Assist with posting payments as needed.
- Support reconciliation of payments and deposits.
- Monitor work queues and ensure timely resolution.
- Stay current on payer guidelines and updates.
- Provide backup support for other Business Office functions.
Performance Expectations
- Maintain consistent daily call volume and productivity.
- Effectively collect payments and secure payment plans.
- Reduce aging patient balances.

Education & Experience
- High School Diploma required; Associate’s preferred.
- 1–2 years medical billing, AR, or collections experience required.
- CPT and ICD-10 knowledge preferred.
- Patient collections experience strongly preferred.

- Ability to lift up to 25 pounds occasionally.
Physical Demands
- Frequent sitting, standing, walking, reaching, bending, stooping, lifting up to 25lbs., carrying and speaking.
- Lifting, carrying, pushing, and pulling up to 50 pounds, with assistance if needed.
- Frequent use of computer, keyboard, phone, copy and fax machines.
Compensation and Benefits:
Wage Range: $22.00 – $28.00 per hour Compensation decisions are made based off several factors including relevant work experience, education, certification, and licensure as well as internal equity. Wages are just one part of our employee compensation package.
