Full Job Description

Position Summary

Arizona Specialty Demolition is seeking a versatile and detail-oriented accounting professional to join our team on a full-time basis to fulfill the role of Accounting Specialist. Reporting directly to the Chief Financial Officer, the Accounting Specialist will focus on all functions and aspects of Accounts Payable. The ideal candidate will possess strong communication skills, exceptional organizational abilities, and a willingness to contribute to various tasks within our dynamic environment.

Principal Duties and Responsibilities

Responsibilities include but are not limited to the following:

Assume responsibility for the entire Accounts Payable process including all stages of vendor/subcontractor invoicing.
Receive, verify, enter into accounting software and coordinate with the project management team for approval of all invoices, purchase orders, subcontractor invoices and employee expense reports.
Manage and maintain all vendor compliance records such as W-9, insurance and waivers.
Monitor and track vendor and subcontractor 20 day pre-liens to ensure procurement of necessary waivers throughout the lifetime of all projects.
Work closely with the Accounts Receivable/Billing department to coordinate timely progress and final payments to vendors and the acquisition of required subcontractor or vendor waivers (progress or final).
Intake and process requests for payments from other departments, PO tracking, etc.
Complete full cycle of company credit card management from receipt tracing, entering transactions into software and submitting complete reports to CFO for monthly payment.
Supporting the tracking of job expenses and the preparation of reports regarding vendor or subcontractor costs on a project.
Assisting in updating project financial data within QuickBooks and other accounting systems.
Assisting in year-end financial file organization and project documentation as related to vendor and subcontractor files.
Ensure compliance with company policies, accounting procedures and internal controls.
Process the electronic filing and hard filing of all vendor payments and records, saving digitally to all appropriate file locations.
Greet visitors warmly and direct them to the appropriate personnel, discerning between solicitors and legitimate business inquiries.
Receive, date-stamp, and distribute mail daily, scanning and electronically filing documents for distribution to relevant staff members.
Ensure the front reception area is clean, organized, and presentable at all times.

Additional Responsibilities

Participate in ongoing cross-training initiatives to expand skills and capabilities.
Provide support and assistance to colleagues as part of a collaborative team environment.

Required Knowledge, Skills, and Abilities

Proficiency in Microsoft Office programs (Word, Excel, Outlook) and Google Suite.
Experience with Quickbooks and other accounting software.
At least 3+ years accounting experience with a strong preference to construction related accounting.
Associates or higher degree in Accounting strongly preferred.
Strong computer skills and ability to navigate online platforms effectively.
Knowledge of the construction field is required.
Excellent communication skills, both verbal and written.
Ability to multitask and prioritize duties effectively in a fast-paced environment.
Punctuality and reliability are essential.
Professional and courteous demeanor in all interactions.
Exceptional attention to detail and organizational skills.
Team player mentality with a willingness to assist colleagues when needed.
Comfortable and confident in phone communication and dealing with individuals in person.
