Full Job Description

Phoenix Art Museum is looking for a Concierge Services Associate to serve as primary point of contact for the Museum’s 2nd floor administrative offices in the Administration / Education Center, and the Museum’s information phone line. Provide task and project support to the DIS department, perform mail distribution duties, and assist other departments as necessary. Responsible for welcoming and greeting visitors, staff, Trustees, Docents, volunteers, and vendors in a timely, courteous, and accurate manner in person and over the phone. Provide excellent customer service to staff and visitors.

MAIN JOB DUTIES

Answer incoming telephone calls promptly, respond to inquiries whenever possible, including taking phone orders and routing calls to appropriate Museum staff.
Follow Guest Services procedures and policies and remain up to date on all events and activities.
Assist Admin/Education Center visitors at the 2nd floor reception desk by providing directions, answering questions, locating appropriate staff members, and announcing appointments.
Process phone orders, memberships, and tribute donation information for Development.
Provide administrative support for the Director of Data and Research, DIS Specialist, and the Director of Membership & Guest Services; including but not limited to: scanning, filing, database auditing, special projects, editing fulfillment materials, assisting with Membership and Development fulfillment, processing donations, cash handling, and preparing daily deposits of Development and Membership transactions.
Maintain the Guest Services frontline digital calendar with updated daily Museum events, guests, school groups, and related activities.
Order office supplies for Museum staff and maintain general office supply inventory and supply room.
Manage the Info email inbox and respond appropriately.
Complete the monthly postal report in support of the Membership and Guest Services department.

MINIMUM QUALIFICATIONS:

High school diploma or equivalent.
Minimum of two years’ administrative experience with receptionist and customer service experience preferred.

Knowledge of:

Data Entry
Strong interpersonal and telephone communication
Microsoft Word and Excel

Skill and ability to:

Exhibit high level of customer service.
Present a professional image and positive attitude
Utilize organizational and time management skills.
Prioritize and accomplish multiple projects concurrently.
Follow through independently on routine responsibilities.
Work effectively with a wide variety of Museum supporters, visitors, volunteers and staff.
