Job Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with comprehensive administrative support, ensuring smooth office operations and accurate financial management. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, ready to contribute to a vibrant workplace environment. Your proactive approach will help maintain efficient workflows, support client interactions, and uphold the high standards of our organization. Duties

Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Handle multi-line phone systems with professionalism, providing exceptional customer service and front desk support
Maintain organized filing systems for both digital and physical documents, ensuring easy retrieval of information
Prepare accurate spreadsheets and reports using Excel
Support office management activities such as supply ordering, data entry, proofreading, and document processing
Communicate effectively with Union Members and must be bilingual and speak with Spanish with Latino members while demonstrating excellent phone etiquette
Perform clerical tasks such as data entry, filing, and document proofreading to ensure accuracy and efficiency

Qualifications

Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Excel for bookkeeping tasks; familiarity with bookkeeping principles is a plus
Excellent computer literacy including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
Strong communication skills with the ability to handle phone communication professionally in a bilingual environment (Spanish/English or other languages) preferred
Experience managing multi-line phone systems and front desk responsibilities in a busy office setting
Demonstrated ability to multitask effectively while maintaining attention to detail and productivity software proficiency
Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
Ability to manage time efficiently, prioritize tasks effectively, and adapt to changing office needs
