Job Summary

We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and professional demeanor will help create a friendly and efficient environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression.
Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette.
Handle data entry tasks using spreadsheets, Microsoft Office applications, and Google Workspace to maintain accurate records.
Support office management tasks such as filing, document proofreading, calendar management, and scheduling appointments.
Utilize computer skills including Word processing, data entry, and bookkeeping to assist with administrative needs.
Maintain organized filing systems and ensure all office supplies are stocked and accessible.
Provide exceptional customer support by addressing inquiries promptly and professionally across various communication channels.

Qualifications

Proven experience in office administration or clerical roles, preferably as a receptionist or personal assistant.
Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and productivity software.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Exceptional phone communication skills with a focus on phone etiquette and professionalism.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Experience with multi-line phone systems, data entry, filing, and calendar management is preferred.
Knowledge of QuickBooks or bookkeeping experience is a plus for handling financial tasks accurately.
Previous experience in medical or dental reception is advantageous but not required; training will be provided as needed.
