Full Job Description

Position Overview

This position will be responsible for maintaining accurate financial records and assisting with the administrative side of our construction projects.

Because we operate a relatively small company, we are looking for someone who is comfortable handling a variety of responsibilities rather than working within a narrowly defined accounting role. The right person will help ensure that invoices, payments, job costs, vendor records, and project documentation stay current and organized.

Qualifications & Requirements

· Experience with QuickBooks required, QuickBooks online preferred

· Previous bookkeeping, accounting, or administrative experience necessary

· Strong organizational skills and attention to detail

· Good computer skills, including Microsoft Excel and email

· Enter and categorize bills, expenses, deposits, and other transactions.

· Manage accounts payable, assist with scheduling vendor and subcontractor payments

· Review invoices to ensure they are assigned to the proper project and cost category.

· Track subcontractor invoices and payments

· Reconcile bank and credit card accounts.

· Manage accounts receivable, customer payments, job progress payments, and outstanding balances

· Maintain organized electronic and paper records for individual projects

· Assist with change-order and contract documentation

· Communicate with vendors, subcontractors, customers, and our CPA/accountant when necessary

· Provide job-cost and financial information to the owner as needed.

· Maintain W-9s, certificates of insurance, and other required subcontractor/vendor documentation

· Assist with lien waivers and other payment-related construction documentation when required

· Dependable and able to manage routine tasks with limited supervision

· Assist with year-end accounting information and preparation of records for our CPA.

· Ability to maintain confidentiality regarding company, employee, customer, and financial information.

· Willingness to learn Mullen & Company's bookkeeping and job-costing procedures

Conditions of Employment

Contingent upon successful completion of a background check due to the confidential and financial nature of the position.

What We Are Looking For

This position is currently part time with flexible hours. If applicant is interested and capable it could develop into a full time position with some benefits. Experience in a construction office, construction bookkeeping, job-cost accounting, subcontractor documentation, progress billing, construction draws, would be particularly valuable.

We want someone who can learn how Mullen & Company operates and become a trusted part of the business.

Pay: $23.00 - $25.00 per hour
