Full Job Description

Position Summary

The Assistant Construction Division Manager supports the Construction Division Manager in the planning, coordination, estimating, scheduling, and execution of landscape construction projects. This position plays a critical role in ensuring projects are completed on time, within budget, and to company quality standards.

Essential Duties and Responsibilities

Estimating & Project Bidding
Assist with preparing accurate project estimates and proposals.
Perform quantity takeoffs from plans and specifications.
Solicit and compare vendor and subcontractor pricing.
Prepare project budgets and cost analyses.
Assist in developing bid packages and project scopes of work.
Maintain estimating databases and historical cost records.

Material Procurement & Vendor Management

Order materials, equipment, and supplies for construction projects.
Coordinate deliveries to ensure project schedules are maintained.
Develop and maintain relationships with vendors, suppliers and subs.
Verify pricing, availability, and quality of materials.
Track purchase orders and ensure accurate billing.
Monitor inventory levels and material usage.

Scheduling & Project Coordination

Assist with scheduling crews, equipment, and subcontractors.
Coordinate project timelines and production schedules.
Monitor project progress and communicate updates to management.
Ensure labor and equipment resources are allocated efficiently.
Assist in resolving scheduling conflicts and production challenges.
Coordinate project startup and closeout activities.

Operations Support

Conduct project site visits and quality inspections.
Assist with project documentation, reporting, and record keeping.
Support safety initiatives and ensure compliance with company policies.
Participate in client meetings and project walkthroughs.
Assist with change orders and project modifications.
Monitor project costs and profitability throughout project execution through production meetings.

Administrative Responsibilities

Maintain project files and construction records.
Process invoices and verify vendor billing.
Track project budgets and expenditures.
Prepare reports for management review.
Assist with contract administration and document management.
Approve time sheets for assigned crews, ensuring accurate and timely processing of payroll.

Qualifications

Minimum 3 years of landscape construction, construction management, or related industry experience. Experience with estimating, project scheduling, and procurement preferred. Bilingual (English/Spanish) preferred but not required.

Knowledge, Skills & Abilities

Strong understanding of landscape construction practices and materials.
Ability to read and interpret construction plans and specifications.
Knowledge of irrigation, hardscape, landscape installation, and site development.
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Experience with estimating and project management software preferred.
