Job Description

We are seeking a detail-oriented, proactive, and organized individual to join our Support Team in providing virtual support to our mental health practice, Sea Glass Mental Health. The ideal candidate will be adept at prioritizing, multi-tasking, and communicating with clients, therapists and Leadership. This candidate will also have a positive mindset, be willing to learn and grow with us and must be physically located in Arizona.

Pay: $21/hour

This is a part-time, hourly, remote (work from home) position. The hours for this position are 9am-5pm on Wednesdays, Thursdays and Fridays. SGMH also provides Paid Sick Time.

Because this is a fully remote position, the candidate must have a secure and private work space, access to reliable high speed internet, a reliable computer/laptop and a willingness to use GoogleVoice on their phone (keeps your personal number private).

Sea Glass Mental Health is a woman-owned group mental health practice that is committed to helping our clients become the best and healthiest versions of themselves. We work with individuals, couples, and families from all walks of life, utilize modern evidence-based practices, and provide practical tools to achieve sustainable results. Our experienced and knowledgeable licensed therapists believe in an integrated, collaborative and individualized treatment model. We understand that mental health is not a “one size fits all” approach.

We offer Telehealth counseling services primarily to Arizona & Hawaii residents who are ages 14+. Our licensed therapists work with a wide variety of issues/topics/ populations including, but not limited to: depression, anxiety, PTSD, OCD, ASD, grief, ADHD, self-esteem, acute, complex and chronic trauma, relationship issues, stress, behavioral issues, addiction, family conflict, LGBTQIA+ issues, unhealthy relationships with food, mood disorders, personality disorders, sleep issues, parenting, divorce, spirituality, attachment, and more.

To succeed in this role:

You will succeed in this role if you have a positive attitude, possess excellent communication skills, and take ownership and follow through. You must be extremely organized, proactive, willing to learn and grow with the company, and be able to pay attention to the small details. We are looking for someone who will “cross their t’s and dot their i’s”. You have a passion for helping others as you will be communicating with and supporting our clients. You are a tech-savvy individual who is comfortable learning new technologies and can work independently.

Responsibilities:

● Supporting licensed therapists with client bookings, administering intake & consent forms, etc.

● Client support (answering client calls, texts, and emails)

● Maintaining quality assurance (securing payment information, uploading secure documents, managing the SimplePractice, our EHR)

● Understanding and enforcing the practice’s policies and procedures

● Supporting the billing specialist, if needed

● Managing additional administrative and marketing tasks and projects (such as coordinating with our community partners, managing faxes, etc.)

Skills & attributes of our ideal candidate:

● Self-motivated and highly process-oriented, with the ability to work independently.

● Strong verbal and written communication skills

● Comfortable communicating with challenging clients/emotionally-charged situations via phone/call/email; possesses conflict resolution skills

● Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure and meet all deadlines

● Tech-savvy with strong problem-solving skills, you can work independently to navigate, troubleshoot, and optimize our systems, are comfortable learning new technologies, and can work with minimal guidance to resolve technical issues

● Comfortable using Google Workspace, EHR/SimplePractice, and SRFax in a work environment

● 1+ years Admin experience
● Preferred: HIPAA familiarity

● Preferred: Knowledge of or experience in healthcare or mental health
