Job Title: Accounting Assistant & Accounts Payable (AP) Specialist

We specialize in residential and commercial real estate projects and aim to create long-term value for our clients, investors, and stakeholders. We are currently seeking a motivated and detail-oriented Accounting Assistant & Accounts Payable (AP) Specialist to join our growing team.

Job Summary:
The Accounting Assistant & AP Specialist will play a key role in the financial operations of the firm, focusing primarily on processing accounts payable, assisting with accounting tasks, and ensuring accurate and timely financial records. This individual will work closely with the accounting team, reporting to the Financial Controller, and contribute to the smooth financial operation of the firm, with an emphasis on real estate transactions and property management.

Key Responsibilities:

Accounts Payable (AP) Processing:
Manage the full-cycle accounts payable process, including invoice receipt, verification, coding, and data entry.
Process vendor payments via check, ACH, or wire transfer in accordance with company policies.
Ensure timely and accurate payment of invoices, adhering to payment terms.
Assist with resolving discrepancies or issues related to vendor invoices, payments, and vendor relations.
Maintain organized records of all payable transactions and vendor correspondence.
Accounting Support:
Assist with the preparation of financial statements, reports, and reconciliations.
Help track and record financial transactions related to real estate investments, property operations, and acquisitions.
Assist with month-end and year-end closing procedures.
Maintain accurate and up-to-date records in the firm’s accounting software.
Support the team with ad-hoc accounting projects as needed.
Property and Investment Tracking:
Assist in the tracking of property expenses, capital improvements, and investment-related financial records.
Ensure accurate and timely allocation of costs to properties and projects.
Help maintain databases and spreadsheets for financial data related to real estate transactions.
General Administrative Support:
Assist with filing and organizing financial documents, contracts, and agreements.
Provide administrative support to the finance team as needed.
Coordinate and liaise with other departments, vendors, and external auditors.

Qualifications:

Bachelor's degree in Accounting, Finance, Business Administration, or a related field (preferred but not required).
1-3 years of experience in accounting, accounts payable, or related roles (preferably in the real estate industry).
Strong knowledge of accounts payable processes, financial principles, and basic accounting practices.
Proficient in Microsoft Office Suite (Excel, Word, Outlook), with advanced Excel skills a plus.
Experience with accounting software (e.g., QuickBooks, Yardi, Sage, or similar systems) is preferred.
Attention to detail and accuracy in data entry and financial reporting.
Strong organizational and time-management skills, with the ability to meet deadlines.
Excellent communication skills and ability to collaborate effectively with internal teams and external vendors.
Ability to work independently and manage multiple priorities in a fast-paced environment.

Preferred Skills:

Experience in real estate investment or property management accounting is a plus.
Knowledge of real estate-specific financial terms and reporting requirements.
Familiarity with real estate investment structures, such as LLCs, joint ventures, and RE Funds.
