Job Summary
The Fleet Coordinator is responsible for the maintenance and repair schedules of all vehicles and equipment assigned to their respective departments and divisions. Oversees, expedites, and ensures repairs and maintenance on all department assigned fleet assets are completed on schedule. This includes reviewing requests for repairs, scheduling preventative maintenance, and verifying work is completed properly and in a timely manner.
Roles & Responsibilities
Coordinates work orders in response to requests for service, safety, or preventive maintenance scheduling with the Fleet Department.
Coordinates communication among department management, vendors, technicians, and parts providers as required; notifies internal and external management when work is completed.
Ensures all receipts, documents, and all other fleet related materials pertaining to department fleet assets are submitted to the Fleet Department.
Works with department to schedule vehicles and equipment for regularly scheduled repairs or preventive maintenance work and coordinates with management.
Schedules new repairs or servicing appointments.
Checks all repair work performed in shop for completeness, including physical inspections and road tests before vehicle is returned to user departments.
Obtains estimates from vendors or contractors for outside repair work; monitors status and completion of sublet repairs and verifies accuracy of cost charged to work orders.
Arranges for service calls to vehicles on the road by placing service request calls to appropriate vendors or contractors.
Writes necessary reports and assists in vehicle licensing requirements of the department.
Serves as a member of the City Fleet Committee for the TPW department.
Enforces city and department safety practices and procedures and ensures employees receive appropriate safety training.
Determines whether a vehicle or rolling stock unit is due for scheduled preventive maintenance based on time or fuel usage.
Recommends unit be taken out of service for repairs for safety reasons and/or priority of repairs required.
Determines when parts and labor are properly charged and required work has been completed according to work order.
Reviews work orders to ensure data is entered correctly, noted properly, and submitted to management.
Other related duties as assigned.
Knowledge, Skills, and Abilities
Knowledge of data entry into a computerized software system.
Knowledge of mathematics sufficient to perform basic mathematical calculations.
Knowledge of general office operations and equipment.
Skilled in effective verbal and written communication.
Skilled in attention to detail and the ability to review and accurately correct work orders when data is missing or inaccurate.
Ability to determine whether vehicles are due for preventative maintenance/repairs according to schedules and procedures, and to determine what maintenance/repairs are required.
Regular, reliable, and punctual levels of attendance are essential job functions and expectations of this position.
Physical Requirements
Ability to sit for extended periods of time in the input and retrieval of computer data and performing duties of the position.
Ability to carry forms of paper documents and all types of property received weighing up to 50 lbs. within departmental area and to areas outside the department.
Ability to stand, push, pull, and stoop while opening file drawers to place or retrieve files and moving various types of property weighing up to 50 lbs. from one location to another.
Ability to reach and climb ladders and/or step ladders to perform activities such as retrieving property; ability to reach overhead in order to obtain supplies and items in cabinets.
Fine dexterity with fingers and hands required to handle items and to operate computer/typewriter/calculator/communications equipment.
Environmental Conditions
Work performed outdoors is subject to mechanical, electrical, chemical, fire, and explosive hazards. There may be some environmental or safety hazards associated with work performed indoors.
Work may be subject to extreme weather conditions such as heat, cold, wetness and humidity, dirt, dust, heights, darkness, odors, fumes, and bodily injury.
Work may be subject to time pressures, frequent changes to tasks, working closely with others as part of a team, working alone 50% or more of the time, emergency and/or crisis situations, performing multiple tasks simultaneously, and dealing with irate or hysterical people.
Work may be tedious and exacting when preparing reports and records.
Minimum Qualifications
Any combination equivalent to training and experience that could likely provide the required knowledge, skills, and abilities would be qualifying.
Due to the nature of this position, criminal history must be clear.
Must have a valid Texas CDL License and driving record must meet or surpass guidelines as set forth by the City.
