Full Job Description

GENERAL SUMMARY

Manages, plans and coordinates the activities of various Criminal, Civil, Family and Juvenile Courts. Maintains and controls dockets and court settings. Reviews and processes documents for judges.

ESSENTIAL DUTIES & RESPONSIBILITIES

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.

Maintains and controls court docket including setting and preparation of weekly, monthly, annual and specialty dockets. Serves as Court’s receptionist for all criminal cases, talking to persons, responding to questions from multiple sources and functioning with calmness in enviroment with multiple interruptions and discrations.
Insures that all case and party information is listed correctly on dockets.
Prepares and distributes the docket for use by all court personnel via e-mail, regular mail and telephonic means as necessary.
Informs court personnel timely of changes to the weekly docket.
Receives and processes criminal documents and paperwork for Judge.
Receives and processes all court appointed attorney requests within three (3) working days.
Schedules criminal cases for court as directed by Judge. The Coordinator functions as liaison between Court personnel, defendants, individuals, lawyers and the Judge.
Appoints attorneys to indigent persons for Juvenile, Mental Health, and Child Protective cases using rotating attorney lists. Maintains attorney appointment records and lists in conjunction with designated personnel.
Insures settings for Criminal, Mental Health and CPS hearings are in compliance with the appropriate codes.
Maintains Court calendar in scheduling cases.
Notifies attorneys and coordinates settings for hearings; evaluates setting requests, continuances; and handles inquiries regarding settings.
Prepares, assembles and delivers legal documents, instruments and letters to the Judge.
Coordinates with and directs clerical personnel.
Arranges for Interpreter services as needed.
Reviews/sets cases for the Court’s dismissal docket.
Runs statistical reports to determine past and pending caseload; analyze specialized reports to ensure all cases are set for date and purpose certain; and, prepares reports for Judge on court activities.
Notifies transport of circumstances where their service is needed.
Orders supplies for court staff.
Performs other related duties of a similar nature and level as assigned.
Complies with safety regulations, procedures, protocols, and wear personal protective gear if required.

MINIMUM QUALIFICATIONS

Education and Experience

Associate's degree, with 5 to 7 years related experience. Combination of education and experience sufficient to successfully perform the essential functions listed above can be substituted.

Document location and examination
Confidential record handling procedures
Organize large volumes of detailed data and information
Verify and maintain accuracy of detailed data and information, detect data errors
Meet schedules and deadlines of the court
Maintain well-organized materials, files, systems and tools
Exercise good judgment and focus on detail as required
Operate standard office equipment, such as multi-line phone system, computer keyboards and monitors, copiers, scanners and telephone
Adapt to changes in work situations and priorities
Apply listening and interview skills, work under pressure, address conflict, solve problems, and make sound split-second judgments
Work independently
Read, analyze, and interpret standards, policies, procedures, and regulations
Develop and write reports, policies, and correspondence
Handle common inquiries or complaints
Establish and maintain constructive and cooperative interpersonal relationships with staff, peers, supervisors, or managers in the work unit and other departments, as well as with staff of outside entities and other individuals, as applicable to the essential duties and responsibilities
