We are seeking a highly organized Office Assistant who enjoys solving problems, helping people, and keeping things running smoothly behind the scenes. Every day brings something different—from helping a customer find a solution to organizing information for management or stepping in to handle an unexpected challenge. If you enjoy figuring things out, staying one step ahead, and being the person others can count on for answers, this may be the role for you.

Position: Office Assistant
Hours: Monday – Friday, 8 AM – 5 PM
Perks: Paid weekly, No Weekends

Job Description

We are seeking an Office Assistant to support our office and management. This role is perfect for someone who is organized, personable, and enjoys keeping operations running smoothly. You will be responsible for professionally interacting with management within the company, comfortably communicating with customers, vendors, and visitors, and flawlessly handling confidential and critical details. In this role, it will be crucial for you to anticipate the needs of the team and work flexibly to accommodate schedules.

The ideal candidate will have experience supporting high-level executives and managers. They should be well organized and be comfortable responding to phone calls and emails consistently. Lastly, this individual should be able to draft documents, organize data, and help the office with any necessary preparations.

Responsibilities

Customer Care: Relay customer requests and concerns via phone, text, and email
Utilizing CRM Software (Real Green) for customer intake and outgoing billing tasks
Follow-up with customers regarding non-payments
Timecard management
Efficient in daily use of Excel and Word
Answering the phones and transferring calls as needed
Sorting and delivering incoming mail and collecting and sending outgoing mail
Running errands and making deliveries around the office or to external parties
Transporting people to appointments and meetings as needed
Collecting, filing and organizing office documents, such as reports and confidential records
Managing digital document filing, including encrypted documents and email correspondence
Monitoring office inventory and ordering supplies
Preparing or processing invoices or estimates
Assisting with accounts payable and accounts receivable

Qualifications

Notable listening skills with ability to courteously understand concerns to resolve customer issues quickly and efficiently
Ability to independently identify issues and work toward solutions
Professional level verbal and written communication skills to provide customers with accurate information about products and services
Strong critical-thinking and problem-solving abilities
Well-organized, detail-oriented, and able to multitask, prioritize, and problem solve with quality follow-up skills
Comfortable managing multiple priorities and adapting to changing needs
Ability to learn new software and systems quickly
