Full Job Description

This position performs multiple clerical duties, manages the bookstore, assists with social media posts, and is instrumental in healthy flow of information within CNCAA which enables the office to function in an effective and efficient manner; serves as the “go-to” person in the short-term absence of the Executive Director.

PRIMARY DUTIES AND RESPONSIBILITIES:

· Perform traditional receptionist duties to include

Answering the telephone/directing calls
Daily collection and distribution of mail
Assistance with typing/filing/compilation of reports
Provide general administrative support to all team members

· Maintain clean and presentable front office, reception area, conference room/classrooms

· Prep/Set up classrooms for educational programming/classes/presentations

· Maintain records/receipts for book sales, donations, class fees; daily balancing of bookstore cash drawer

· Maintain, manage, and promote Bookstore

Aware of inventory needs
Order materials with approval of ExDirector
Conduct annual inventory (last week of June)
Prepare book sales tax reports quarterly
Promote bookstore sales (social media posts, book reviews, special promotions)

· Welcome and consult with individuals about available resources, make appropriate referrals

· Distribute literature/materials upon request

· Receive and manage alcohol/drug education class registrations for English language classes (Spanish classes too if bilingual)

Complete registrations
Create class lists for each class (alcohol, marijuana, tobacco)
Send out confirmation and reminder letters/notices
Receive and receipt payments of class fees (cross reference all receipts/deposits)
Assist with check-in of class participants whenever possible
Upon class completion, send out completion letters to referral source
Maintain/Update list of referral sources

· Receive and manage workshop/conference registrations

Create participant lists for each workshop/conference
Receive and receipt each payment/registration fee
Send out confirmation letters/notices to each participant for Spring Conference

· Maintain and update mailing lists and email lists for CNCAA

Prepare bulk mailings when necessary
Recruit volunteers to assist

· Develop and maintain positive relationships with treatment and recovery service providers and self-help groups

· Update 12-step meeting lists at least twice each year, and as new information becomes available (print and website)

· Maintain quantities of ATOD materials on hand for educational events, health fairs, and individuals

Utilize round-about and keep neat and organized with up-to-date materials

· Assist with CNCAA fundraising activities throughout the year

· Other duties as assigned

· Responsible to the Executive Director; Comply with all CNCAA policies and procedures, rules and regulations.

QUALIFICATIONS and ABILITIES: High school diploma required. Excellent interpersonal relationship and communication skills (written and oral); Excellent computer skills (experience in Email, Word, Excel, Facebook); Background in substance use disorders and addiction helpful; Compassionate; Ability to follow written and oral instructions; Ability to work in an atmosphere of frequent interruptions; Ability to lift/move/carry 25-50 pounds. Must have valid Nebraska Drivers License.

HOURS OF WORK: Regular office hours are 8:30am - 5:00pm Monday through Thursday, and 8:30am – 1:30pm on Friday. This is a part-time position working 24-30 hours/week. Only with prior approval from the ExDirector is this position allowed to adjust work hours within a flextime schedule as the need presents itself.

Job Type: Part-time

Pay: $17.00 - $18.00 per hour

Expected hours: 24.0 – 30.0 per week
