Position: Operations Coordinator – Event Scheduling & Logistics
Pay: Up to $23.00 per hour
Schedule: Monday to Friday | 8:00 AM - 5:00 PM (Hours may vary to support special events and operational requirements.)
Position Overview
Citadel Security USA is seeking an organized and detail-oriented Operations Coordinator to support the planning and execution of security services for special events and client operations throughout Western Colorado.
This position plays an important role in coordinating staffing assignments, maintaining operational records, supporting field leadership, and helping ensure every event is properly staffed and prepared. The ideal candidate is comfortable managing multiple priorities, communicating with employees across various locations, and adapting to changing operational needs.
Primary Responsibilities
Event Scheduling & Staffing Coordination
- Coordinate security staffing for special events, temporary assignments, and client requests.
- Build and maintain employee schedules using workforce management software.
- Confirm shift assignments and communicate scheduling updates to field personnel.
- Assist with coverage adjustments for call-offs, schedule changes, and last-minute staffing needs.
- Help ensure staffing levels meet operational and contractual requirements.
Operational Coordination
- Support daily event planning activities alongside operations leadership.
- Assist with organizing deployment plans, staffing assignments, and event logistics.
- Monitor upcoming operational needs and help prepare for large-scale events.
- Coordinate resources needed to support field operations efficiently.
Documentation & Systems Management
- Maintain accurate scheduling records and operational data.
- Enter employee assignments, event details, and client information into scheduling platforms.
- Assist with documentation that supports payroll processing, billing, and operational reporting.
- Organize electronic records while maintaining accuracy and confidentiality.
Communication & Team Support
- Serve as a primary communication link between management, supervisors, and field personnel.
- Respond to scheduling inquiries from employees and assist with operational questions.
- Communicate assignment details through phone, email, and other approved communication methods.
- Maintain professional relationships with employees, clients, and operational partners.
Administrative Support
- Assist operations leadership with reports, spreadsheets, and administrative projects.
- Support operational readiness during high-volume event periods.
- Help improve scheduling efficiency and administrative processes.
- Perform additional operational duties assigned to support business needs.
Required Qualifications
- High school diploma or GED.
- Valid driver's license and reliable personal vehicle.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to prioritize multiple assignments while meeting deadlines.
- Strong attention to detail and accuracy.
- Professional customer service and interpersonal skills.
- Ability to maintain confidentiality regarding client and employee information.
- Ability to successfully pass a background check and verify authorization to work in the United States.
Preferred Qualifications
- One or more years of experience in scheduling, logistics, workforce coordination, dispatch, operations support, or administrative services.
- Experience supporting private security, event operations, staffing agencies, or related industries.
- Familiarity with TrackTik or similar workforce management and scheduling platforms.
- Experience assisting with payroll support, scheduling records, or operational reporting.
- Strong problem-solving skills and the ability to adapt in a fast-paced environment.
