Full Job Description

Summary

The AR Specialist supports accurate and timely cash application, invoicing, collections follow-up, account reconciliation, and AR reporting. This role partners closely with customers and internal stakeholders to resolve billing and payment discrepancies, maintain positive customer relationships, and help ensure the company’s working capital goals are met. The AR Specialist assists other Finance team members, specifically the Accounts Payable (AP) Specialist and provides coverage to colleagues when they are out of the office.

Notes

This role is currently (7/2026) under evaluation and will evolve into a hybrid AR/AP/Other Finance-related responsibilities as the team incorporates automation capabilities. These changes are expected to take place over the next 6-18 months.

Responsibilities

· Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.

· Create invoices according to company practices; submits invoices to customers.

· Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.

· Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.

· Create reports regarding the current status of customer accounts as requested.

· Research customer discrepancies and past-due amounts and works toward resolution.

· Copies, files, and retrieves materials as needed.

· Performs other related duties as assigned.

Required Qualifications

· High school diploma or equivalent required; Associates or Bachelors degree in Accounting preferred.

· At least two years of related experience required.

· Experience/Education working with AI/Automation

· Excellent verbal and written communication skills.

· High Proficiency in Microsoft Office Suite or related software as well as other accounting software programs.

· Ability to operate related office equipment, such as computers, 10-key calculator, and copier.

· Ability to work independently and in a fast-paced environment.

· Ability to anticipate work needs and interact professionally with customers and vendors.

· Excellent organizational skills and attention to detail.

Physical Requirements

· Continuous (continuous = 67-100% of the time):

o Sitting at a desk, utilizing a computer

o Talking, seeing, hearing, and repetitive hand motions

· Occasional (occasional = up to 33% of the time):

o Bending, twisting, lifting (up to 15lbs) when filing or organizing office space
