Full Job Description

Arrowhead Promotion is seeking a dynamic and highly organized Executive Assistant to support the C-Suite in all facets of executive administration. This role works directly with the President and CEO to ensure seamless daily operations by managing complex schedules, coordinating projects, and handling confidential communications with professionalism and efficiency. The ideal candidate is proactive, detail-oriented, and possesses a passion for facilitating executive success through exceptional administrative support.

Duties:

Manage calendars with precision using Outlook, including scheduling meetings, appointments, and travel arrangements.

Provide comprehensive executive administrative support by preparing correspondence, reports, and presentations.

Coordinate multiple projects simultaneously by tracking deadlines, organizing resources, and ensuring timely completion through effective project management techniques.

Handle all aspects of office management for the President including filing, data entry, document proofreading, transcription, and maintaining organized records.

Assist with event planning for company meetings, conferences, well-being activities, and special events to ensure smooth execution from logistics to follow-up.

Develop and produce the organization’s monthly newsletter, including content coordination, editing, and distribution.

Oversee expense tracking utilizing our expense system.

Manage personal assistant responsibilities including personal scheduling, handling confidential information discreetly, and supporting personal errands when needed.

Facilitate communication between departments by coordinating meetings, preparing agendas, and documenting minutes for follow-up actions.

Provide support and respond to inquiries across social media channels (executive inquiries, etc.)

Utilize office management skills to maintain a welcoming front desk environment and ensure the office runs efficiently daily.

Other duties as assigned.

Experience:

Bachelor’s degree in business administration, communications, or related field preferred.

3 or more years proven experience as an executive assistant or in a similar administrative role supporting C-level executives.

Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and office equipment. Experience with additional communication tools such as OneDrive, SharePoint, and Microsoft Teams is preferred.

Strong organizational skills with the ability to multitask effectively in a fast-paced environment.

Excellent typing speed along with transcription and proofreading skills to produce accurate documents swiftly. Experience with leveraging technology tools (AI) to assist but not rely on capturing complete, accurate information.

Experience with event planning, project coordination, and office management is highly desirable.

Ability to handle sensitive information with discretion while always maintaining professionalism.

Exceptional communication skills—both written and verbal—and strong attention to detail are essential for success in this role.

Additional Information about the position:

This position requires the ability to work in person Monday – Friday, 8am – 4:30pm.

Must be authorized to work for any employer in the U.S. without sponsorship.
