Full Job Description

The Role: Cascade Pediatrics is seeking an experienced Practice Manager with private practice healthcare management experience. This position provides strategic, operational, financial, and administrative leadership to support the successful operation and growth of the practice. Working closely with physician partners, the Practice Manager oversees daily operations, staff management, revenue cycle performance, financial administration, regulatory compliance, patient relations, and business development initiatives to ensure exceptional patient care and organizational success.

We love children and partner with families to provide personalized, expert pediatric care. Our professional team of board-certified physicians, nurses and support staff are dedicated to improving our pediatric patients overall health and helping them reach their health goals.

Requirements:

Bachelor’s Degree in Business Administration, Healthcare Administration, or a related field; appropriate experience may be substituted for educational requirements
Minimum of 5 years of healthcare office management or supervisory experience
Exceptional communication, interpersonal, and customer service skills
Strong organizational, problem-solving, process improvement and leadership abilities
In-depth knowledge and experience with payer incentive/quality matrix programs
Contract negotiation experience
Experience working with Electronic Health Record (EHR/EMR) systems
Medical billing knowledge
Ability to successfully pass a background check with no disqualifying civil or criminal history

Key Job Responsibilities:

Provide strategic and operational leadership in developing, planning, and implementing the practice's business plans, growth initiatives, and long-term organizational objectives in collaboration with physician partners.
Analyze operational and financial data to identify trends, opportunities, and areas for improvement, and develop and implement initiatives that enhance efficiency, financial performance, patient satisfaction, and overall organizational effectiveness.
Keep physician leadership informed of healthcare industry trends, operational challenges, regulatory changes, and market developments to support effective decision-making and policy development.
Establish, review, revise, and oversee the implementation of practice policies and procedures following physician approval.
Manage and coordinate the practice’s marketing initiatives in partnership with physician leadership to support growth, patient engagement, and community presence.
Promote a culture of accountability, professionalism, teamwork, and employee engagement through effective leadership, team building, and staff development.
Responsible for overseeing employee onboarding, professional development, performance management, succession planning, and termination processes as appropriate
Utilize strong organizational, analytical, and process improvement skills to optimize workflows and enhance operational performance.
Responsible for overseeing the fiscal management of the practice in collaboration with the practice’s accountant, including financial planning, financial reporting, cash flow management, monitoring financial performance, and execution of the practice’s financial objectives.
Responsible for the administration, oversight, and optimization of revenue cycle management systems, ensuring accurate billing, timely reimbursement, efficient collections, and compliance with applicable payer and regulatory requirements.
Support financial sustainability by enhancing operational effectiveness and implementing cost-containment strategies without compromising quality of care, patient experience, or innovation.
Oversee and administer employee benefit programs and coordinate related activities to ensure compliance.
Oversee and support incentive, quality, and risk-based programs associated with commercial payer contracts, ensuring compliance with performance metrics and organizational objectives.
Serve as a resource for staff in addressing and resolving patient concerns, ensuring issues are handled promptly, professionally, and compassionately.
Maintain effective relationships with physicians, healthcare organizations, hospitals, provider groups, insurance payers, and external vendors.
Coordinate facility operations and work with property management and service providers to maintain a safe, clean, and productive workplace.
Oversee inventory management, supply ordering, and vendor relationships to ensure operational readiness and cost-effective resource utilization.
Manage accounts payable activities, including invoice review, vendor statement reconciliation, and resolution of billing discrepancies.
Utilize and support electronic medical record (EMR) systems, ensuring accurate documentation and adherence to established workflows.
Ensure compliance with HIPAA, OSHA, ADA, and other applicable healthcare regulations, policies, and accreditation standards.
