Full Job Description

This is a contract position with an expected duration of approximately five months.

The Contract Logistics & Billing Coordinator is responsible for managing both inbound and outbound transportation activities while ensuring accurate and timely customer invoicing. This role coordinates carrier sourcing, oversees shipping and receiving documentation, tracks inbound materials, and generates customer invoices to support operational efficiency and cash flow. The position serves as a key liaison between purchasing, production, warehouse, sales, carriers, and customers to ensure seamless material flow and accurate billing.

Essential Job Duties

Transportation & Logistics (Inbound and Outbound)

Source and secure cost-effective carriers for inbound raw materials and outbound finished goods.
Schedule and coordinate inbound deliveries to align with production and inventory needs.
Monitor inbound shipments to ensure on-time delivery and proactively resolve delays.
Coordinate daily outbound shipments to ensure timely customer delivery.
Verify shipment details including weights, quantities, freight classifications, and delivery requirements.
Communicate shipment status and delivery updates to internal teams and customers.
Assist with freight claims for damaged, lost, or delayed shipments.
Maintain accurate transportation records and carrier performance data.

Shipping & Receiving Documentation

Prepare and process packing slips, bills of lading, and other required shipping documents.
Maintain organized and compliant shipping and receiving records.

Billing & Invoicing

Generate accurate and timely customer invoices based on confirmed shipments.
Verify pricing, freight charges, and quantities prior to invoicing.
Reconcile freight bills and address billing discrepancies.
Support month-end closing activities related to shipping and invoicing.

Other Support

· Coordinate fulfilment of samples for customers

· Support and back up certain Inside Sales functions (when required)

· Other support for general office functions as a back up.

Required Qualifications

High school diploma or equivalent required; Associate’s degree in Business, Supply Chain, or related field preferred.
2+ years of experience in logistics, transportation coordination, shipping/receiving, billing, or related role.
Experience in a manufacturing or distribution environment preferred.
Proficiency in ERP systems and Microsoft Office (Excel, Outlook, Word).
Knowledge of Microsoft Dynamics 365 Finance and Operations is a plus

Knowledge, Skills, and Abilities

Working knowledge of inbound and outbound freight processes.
Understanding of LTL, FTL, parcel, and common carrier operations.
Knowledge of shipping documentation and freight classifications.
Basic understanding of billing procedures and accounting principles.
Strong attention to detail and high level of accuracy.
Ability to manage multiple priorities in a fast-paced environment.
Strong organizational and time management skills.
Effective written and verbal communication skills.
Ability to problem-solve and resolve discrepancies efficiently.
Customer-focused mindset with professional communication skills.
Ability to work independently while collaborating across departments.

Working Environment

Primarily office-based within a manufacturing and warehouse setting.
Regular interaction with warehouse personnel, production teams, drivers, vendors, and customers.
Occasional exposure to shop floor environment (noise, forklifts, moving equipment).
Prolonged periods of sitting and computer use.
