Position Summary
The In-Home Care Staff Supervisor/Scheduler is responsible for supervising caregivers, coordinating client schedules, ensuring quality care delivery, and maintaining compliance with agency policies and state regulations. This position serves as the primary liaison between caregivers, clients, and office staff while ensuring adequate staffing, excellent customer service, and continuity of care.
Essential Duties and ResponsibilitiesStaff Supervision
- Supervise and support caregivers to ensure quality service delivery.
- Conduct regular caregiver check-ins, coaching, and performance evaluations.
- Assist with interviewing, onboarding, orientation, and training of new caregivers.
- Monitor caregiver attendance, punctuality, and job performance.
- Address employee concerns and resolve workplace conflicts professionally.
- Maintain documentation regarding employee performance and disciplinary actions.
- Ensure caregivers maintain current licenses, certifications, and required training.
Scheduling & Staffing
- Develop and maintain caregiver schedules that meet client care needs.
- Match caregivers with clients based on skills, experience, availability, and compatibility.
- Fill open shifts promptly while minimizing overtime and travel time.
- Respond to emergency call-offs and staffing shortages.
- Coordinate schedule changes due to hospitalizations, vacations, or changing client needs.
- Monitor daily schedules to ensure all client visits are covered.
- Verify visit completion and resolve scheduling discrepancies.
Client Care Coordination
- Maintain regular communication with clients and family members.
- Ensure client care plans are accurately communicated to caregivers.
- Monitor client satisfaction and address concerns promptly.
- Coordinate caregiver introductions for new clients.
- Report significant changes in client condition to the appropriate supervisor or Registered Nurse.
- Assist with service plan updates as directed.
Quality Assurance & Compliance
- Ensure services comply with Oregon Administrative Rules, agency policies, and client care plans.
- Conduct caregiver supervisory visits as required.
- Maintain accurate scheduling and personnel records.
- Ensure HIPAA compliance and confidentiality of all client information.
- Participate in quality assurance initiatives and agency audits.
- Monitor Electronic Visit Verification (EVV) compliance, when applicable.
Administrative Responsibilities
- Maintain accurate documentation within scheduling software.
- Assist with payroll verification by reviewing caregiver hours and visit accuracy.
- Support billing by ensuring visit documentation is complete.
- Prepare staffing reports and scheduling metrics.
- Answer incoming calls and assist with office operations as needed.
- Maintain organized employee and client files.
Qualifications
- High school diploma or GED required.
- Minimum of two years of scheduling or supervisory experience.
- Previous experience in home care, healthcare, or human services strongly preferred.
- Knowledge of Oregon home care regulations is preferred.
- Experience with scheduling software and Microsoft Office Suite.
- Valid driver's license and reliable transportation.

- Occasional travel for supervisory visits and caregiver support.
- Fast-paced environment requiring flexibility and the ability to manage multiple priorities.
- Participation in an on-call rotation may be required.
