Full Job Description

POSITION SUMMARY

The HR Specialist supports the work of the Y, a leading nonprofit organization committed to strengthening the community through youth development, healthy living, and social responsibility. This position provides direct administrative support to Human Resources by ensuring accurate documentation, supporting compliance efforts, and maintaining organized personnel records.

ESSENTIAL FUNCTIONS

1. Recruitment & Hiring Support

Post open positions internally and externally.
Track applications and applicant status through the hiring process.
Communicate with applicants regarding interviews, hiring steps, and pre-employment requirements.
Coordinate interview scheduling, reference checks, and hiring documentation.
Support recruitment efforts including job fairs, volunteer fairs, and outreach events.
Assist supervisors with hiring processes including screening calls, interview coordination, and follow-up communication.

2. Onboarding & Employee Transitions

Prepare new hire packets, onboarding materials, and personnel files.
Conduct new hire orientation and ensure completion of required employment paperwork.
Process new hires, rehires, transfers, and other employment changes in the HRIS.
Track completion of onboarding requirements and follow up on missing documentation.
Coordinate offboarding processes, including separation paperwork, benefit notifications, and record updates.

3. Benefits & Leave Administration

Assist with administration of employee benefit programs including health insurance, retirement plans, and other benefit offerings.
Support new hire enrollments, qualifying life event changes, and annual open enrollment.
Respond to employee questions regarding benefits and provide forms, notices, and general guidance.
Maintain benefit records and coordinate with payroll, brokers, or carriers to ensure accurate enrollments and deductions.
Track and support leave administration, including required documentation and communication related to protected or organization-approved leaves.

4. HR Records, HRIS & Documentation

Maintain accurate personnel files and HR records in paper and digital systems in accordance with YMCA policy and state/federal requirements.
File and track key HR documents including I-9s, background checks, training records, evaluations, and required acknowledgments.
Ensure HR records are complete, compliant, confidential, and audit-ready.
Assist with HR reports, data entry, record retention, and internal file audits.

5. Compliance, Training & Performance Support

Monitor deadlines for performance evaluations and notify supervisors/directors of upcoming due dates.
Facilitate or coordinate required employee trainings and maintain training completion records.
Stay informed on employment law updates, compliance requirements, and HR best practices through training and professional development.
Support compliance with YMCA policies and employment regulations.

6. Employee Support & HR Administration

Serve as a point of contact for staff regarding onboarding, benefits, policies, and general HR questions.
Maintain confidentiality and handle sensitive information with discretion.
Participate in staff meetings, trainings, and HR projects as assigned.
Support a positive employee experience while upholding YMCA mission, values, and culture.

WORK ENVIRONMENT & PHYSICAL DEMANDS

Office setting with frequent computer work, filing, and light lifting (up to 25 lbs)
Occasional standing, walking, or room setup for onboarding events
Must be able to maintain focused while managing detailed administrative work

QUALIFICATIONS

Previous administrative or HR experience preferred
Proficient in Google Suite and basic HR systems
Strong organizational skills and attention to detail
Must pass YMCA background checks

Pay: $18.00 - $23.00 per hour
