Full Job Description

Overview

We are seeking a detail-oriented and proactive Accounting Operations Coordinator to support reporting, data analysis, inventory management, vendor coordination, and accounting functions. The ideal candidate is proficient in Microsoft Excel, enjoys working with data, and is comfortable managing a variety of business responsibilities.

Key Responsibilities

Reporting & KPI Management

Pull, compile, and distribute daily, weekly, and monthly KPI reports from store systems and back-office platforms.
Generate store and employee performance reports for leadership and field teams.
Maintain reporting accuracy by validating formulas, troubleshooting discrepancies, and resolving inaccuracies before distribution.
Review and analyze POS, sales, and operational reporting from multiple systems and platforms.
Participate in market review meetings and provide reporting insights to support business decisions.

Inventory & Purchasing Support

Monitor inventory levels and consumable supplies across store locations.
Maintain back-office inventory control processes and records.
Review inventory levels against sales trends and identify locations requiring adjustments.
Coordinate monthly ordering of collateral materials, including signage, towels, promotional items, and other operational supplies.
Compile purchase orders and inventory order forms as needed.
Review collateral requests and coordinate fulfillment with vendors and suppliers.
Assist with inventory reconciliation and “true-up” activities.

Vendor & Accounts Payable Support

Serve as the primary point of contact for service vendors, including HVAC, pest control, and other operational partners.
Collect, review, and track invoices for accuracy and proper coding.
Monitor vendor expenses and support the review of vendor statements.
Assist with vendor account reconciliation and payment processing.

Accounting Support

Support day-to-day accounting functions.
Track, analyze, and process company expenses.
Maintain accurate financial records and documentation.
Assist with month-end close activities and account reconciliations.
Utilize QuickBooks Online and Bill.com for accounting and payment processes (training available).

Ad Hoc Projects & Analysis

Track and analyze labor budgets, labor expenses, and other staffing-related metrics.
Identify process improvement opportunities and assist with implementation.
Support cross-functional projects and business initiatives as assigned.

Qualifications

Required

Strong Microsoft Excel skills, including formulas, data validation, and report analysis.
1+ years of bookkeeping, accounting, or related operational accounting experience
Excellent attention to detail and commitment to accuracy.
Ability to manage multiple priorities and meet deadlines.
Strong analytical and problem-solving skills.
Self-starter who takes ownership of work and proactively identifies issues.
Ability to work independently while collaborating effectively with leadership and field teams.

Preferred

Experience with QuickBooks Online (preferred; training available)
Experience with Bill.com (preferred; training available)
Retail, multi-location, franchise, or service-industry experience.
Exposure to inventory management, purchasing, or operational reporting systems
