Full Job Description

Position Summary: The Customer Service Representative (CSR) is responsible for providing exceptional customer service to agents, insureds, and internal stakeholders within the accounting department. This role covers general operational duties, responds to customer inquiries, and supports other areas of the accounting department as needed. The CSR also has the opportunity to assist other departments when required.

This is a hybrid role, allowing the candidate to work in the office three days per week and remotely for up to two days, depending on coverage needs.

Principal Accountabilities:

1. Job Knowledge:

Able to thrive in a fast-paced learning environment and will quickly gain knowledge of company billing, claims, and underwriting procedures.
Maintain comprehensive knowledge of all potential payment plan options, which differ by product.
Analyze policy changes mathematically, anticipating expected financial outcomes.
Use critical thinking to identify issues and unexpected outcomes, and take corrective action when necessary.
Balance the expectations of agents and customers along with upholding the company policies and procedures.
Identifies, analyzes and researches billing issues, working cross-functionally with the accounting department to resolve.
Follows company guidelines regarding policy reinstatements.

2. Judgement:

Address customer inquiries, ensuring timely and accurate responses following company guidelines and procedure
Determine the most effective approach for resolving issues, and recognize when to escalate matters to appropriate departments for further review or resolution.
Balance customer satisfaction with company policies and guidelines, ensuring positive outcomes while maintaining compliance.
Prioritize tasks based on urgency and impact, ensuring that all needs are addressed efficiently, both internally and externally.
Evaluate special requests such as exceptions, discounts, or account adjustments based on company policy and customer history, determining appropriate action.
Determine when to take on additional tasks or delegate, ensuring team efficiency and workload balance.

3. Delivery and Productivity

Respond to customer inquiries via phone and email, providing accurate and timely information.
Process billing changes and endorsements, ensuring accuracy and adherence to company guidelines.
Monitor incoming and outgoing mail, ensuring prompt sorting, delivery, and processing.
Assist in front door monitoring duties and handle related tasks as necessary.

4. Analysis/Business Insight/Compliance:

Research and resolve billing, claims, and underwriting issues, providing clear explanations to customers.
Analyze recurring issues and identify trends, reporting key findings to management for process improvement.
Use software tools and systems efficiently to manage and resolve customer inquiries.

5. Communication, Relationship Building, and Teamwork:

Communicate complex issues in a clear, concise, and professional manner, adjusting communication style to fit the customer’s needs.
Maintain a courteous and pleasant tone, projecting confidence during all customer interactions.
Effectively handle emotional customer situations, diffusing tension and escalating when necessary.
Foster positive relationships with internal departments to ensure smooth collaboration on cross-functional tasks.

6. Leadership:

Demonstrate professionalism and integrity in all actions and communications.
Support team members and departments as needed, showing flexibility in taking on new tasks and responsibilities.
Exhibit initiative by proposing process improvements to enhance customer service and operational efficiency.

Job Requirements:

Experience:

Two years of experience in customer service roles preferred.
Experience working with automated insurance systems preferred.

Education:

College degree preferred; however, a high school diploma with a minimum of four years of relevant work experience will be considered.

Skills:

Strong verbal and written communication skills, with the ability to convey information clearly and courteously.
Proficiency in Windows-based PC applications, with the ability to learn and adapt to various software programs.
Strong analytical skills, with attention to detail and the ability to multitask effectively under deadlines.
A customer-focused mindset with the ability to resolve issues promptly and efficiently.
