Job Overview

We are seeking an energetic and professional Front Office Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your enthusiasm and organizational skills will help create a positive first impression for visitors and clients alike, while efficiently handling communication and office management tasks. Duties

Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring they feel welcomed and valued
Manage multi-line phone systems, directing calls accurately and courteously to appropriate departments or personnel
Handle incoming and outgoing correspondence, including emails, mail, and deliveries with efficiency and attention to detail
Maintain organized front desk areas, including filing, data entry, and updating office records using productivity software such as Microsoft Office and spreadsheets
Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar accounting tools
Assist with clerical duties like proofreading documents, preparing Word processing materials, and maintaining accurate records
Provide customer support by addressing inquiries promptly and professionally while ensuring excellent phone etiquette and client communication

Qualifications

Proven experience in office management or administrative support roles with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, data entry, and productivity software
Familiarity with multi-line phone systems and professional phone communication skills
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Experience with QuickBooks or similar financial software is a plus for supporting basic bookkeeping tasks
Demonstrated customer service skills combined with professionalism in front desk operations
Ability to handle confidential information discreetly while maintaining accuracy in data entry and proofreading
Personal assistant or calendar management experience is advantageous for supporting team schedules
