Job Summary

We are seeking a dynamic and personable Experienced Front Desk Staff member to serve as the welcoming face of our organization. In this vital role, front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energy and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily business functions.

Duties

Greet visitors, clients, and vendors warmly and professionally, ensuring a positive experience from the moment they arrive
Answer multi-line phone systems promptly, using proper phone etiquette to direct calls
Handle incoming and outgoing correspondence via email, mail, and courier services with accuracy and attention to detail
Perform data entry, filing, and document proofreading to support administrative operations
Maintain office supplies inventory and place orders as needed to ensure smooth workflow
Assist with clerical duties such as word processing, creating reports, and managing client communication
Organize and manage office files both physically and digitally using Google Workspace tools like Drive and Docs
Provide customer support by addressing inquiries promptly and professionallySkills
Proven office management experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent computer literacy including data entry, typing accuracy, and familiarity with multi-line phone systems
Strong customer service skills with a professional phone reception manner and excellent phone etiquette
Experience in clerical tasks such as filing, proofreading, and document preparation
Knowledge of Visual Matrix
Effective time management skills to prioritize tasks efficiently in a fast-paced environment
Previous personal assistant or administrative experience is advantageous for supporting executive needs
Ability to communicate clearly with clients and team members while maintaining confidentiality
