<Job Summary>
We are seeking a dynamic and organized Reception Coordinator to join our team! In this vital role, you will be the welcoming face of our organization, managing front desk operations with enthusiasm and professionalism. Your proactive approach will ensure smooth daily operations, exceptional customer service, and seamless communication across departments. <Duties>

Greet visitors, clients, and staff with warmth and professionalism, creating a positive first impression
Manage multi-line phone systems, directing calls efficiently and courteously
Handle all front desk responsibilities including check-ins, appointments, and visitor sign-ins
Maintain organized filing systems, data entry records, and accurate appointment calendars
Support office management tasks such as supply inventory, mail distribution, and document proofreading
Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare correspondence and reports
Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
Provide exceptional customer support through phone etiquette and personalized assistance
Coordinate calendar management for staff and executives to optimize scheduling efficiency

<Requirements>

Proven experience in office administration or clerical roles with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools
Prior experience working at a front desk or as a receptionist in medical or dental settings is highly desirable
Bilingual abilities are a plus to serve diverse client needs effectively
Strong phone etiquette skills with experience managing multi-line phone systems
Demonstrated ability to multitask efficiently while maintaining attention to detail and accuracy
Knowledge of bookkeeping software such as QuickBooks is advantageous
Exceptional organizational skills with the ability to prioritize tasks effectively
Personal assistant or administrative support experience is beneficial for success in this role
