Assists professional staff in tracking client activity, logs contacts and information in customer files.
Employee shall lend administrative support by assisting the CPS/CPI and CPS Supervisor with completion of forms and maintenance of case files; answer the phone and screen callers as well as visitors, providing customer information as needed. In addition, employee is responsible to create letters and spreadsheets and distribute mail or any other correspondence.
Employee shall lend clerical support to unit and division by tracking data, scheduling intakes, maintaining new and closed used files, and taking minutes of meetings. Employee is also responsible for the gathering of case information in response to court orders, records requests, as well as researching community resources available to assist families.

The person in this position has access to protected health information (PHI) under the provisions of the Heath Information Portability Act of 1996 (HIPPA) Privacy Rule. PHI must be treated in accordance with the provisions of the HIPAA Privacy Regulation including the requirements for safeguarding, releasing and recording the release of such information. The person will receive training in the provision of the HIPAA Privacy Regulations as they relate to the duties of this position and has signed a confidentiality agreement.
In addition to the tasks listed below, the incumbent is expected to communicate the Mission, Vision and Guiding Principles of the agency to peers, clients and the public; identify personal strengths and developmental needs to increase job performance and long-term career growth. Continually analyze work processes, seek new approaches and make recommendations to enhance efficiency and effectiveness of the agency. Works in a harmonious and cooperative fashion with other staff to provide efficient and effective customer service. Uses free time as available to assist other staff in the completion of work assignments. Assigns intakes of child &adult abuse and neglect to CPS/CPI from KIPS.
Types it onto forms, enters into appropriate data systems i.e. KIDS.
Engages and interviews customers to obtain adequate, relevant and required information to appropriately identify which agency services customer wishes to access.
Provides applications and information about agency services to customers seeking assistance.
Sets up and maintain electronic files for cases.
Thoroughly researches computer systems such as FACTS, KIPS, KIDS, and other systems to determine if customer has had prior involvement with agency and completes all required documentation to open, review, update, transfer and close cases in all systems according to program/policy requirements.
Case Management and Service Delivery/Resource Coordination
Employee shall insure management of cases by reviewing the continuum of offered services and serving as advocate for customers, adhering to agency expectations regarding completion of work to meet agency outcomes of timeliness. In addition, employee will be responsible to prepare, maintain, and submit statistics for state and federal reporting purposes as well as utilize SMART system to help region process individual payments and use of agency procurement card.
Employee shall coordinate available PPS services with community services and other state agencies and collaborate with other providers to ensure family/consumer receives needed services by making appropriate referrals. To fill unmet needs, employee shall research new resources and work with community and partners to implement innovative new resource programs.
Gathers, assesses, and verifies information obtained from customer and other sources and then requests additional information from customers if needed.
Answers inquiries from customers based on information found in the computer system and the paper file.
Identifies available agency and community resources to meet individual consumer needs through continued contact with the resources and Resource facilitator.
Directs/refers customers to available resources according to regulatory and policy requirements.
Communication/Customer Service/Documentation
Employee shall facilitate the flow of communication between both the contractor and providers with DCF program staff. Employee shall strive to communicate with customers in a way that is professional, easily understood, and is in compliance with HIPPA and agency policies.
Documents contacts, activities, and all case specific information in a clear and factual manner on required forms and in electronic systems.
Shares information with other Agency staff on a need to know basis.
Gathers information and assists in completing regular and special program reports, including monthly reports.
Prepares activity reports according to program and component guidelines on a timely basis.
Policy Awareness/Implementation and Training
Receives, interprets, understands and operationalizes program, Regional and State policies and procedures.
Employee shall utilize training opportunities and readings to enhance knowledge and skills by attending all required trainings, workshops, unit meetings, and conferences recommended and approved by the supervisor.
