Full Job Description

Overview

We are seeking a dynamic and detail-oriented Secretary/Accountant to join our team, bringing energy and precision to our financial operations and administrative functions. This vital role combines administrative support with comprehensive accounting responsibilities, ensuring smooth day-to-day operations and accurate financial management. The ideal candidate will thrive in a fast-paced environment, demonstrating strong organizational skills, technical accounting expertise, and a proactive approach to problem-solving. Duties

Manage all aspects of bookkeeping, including journal entries, account reconciliations, and ledger maintenance using accounting software such as QuickBooks Online, Xero, Sage, or similar systems.
Process payroll accurately and timely while ensuring compliance with relevant tax regulations and payroll standards.
Oversee accounts payable and receivable functions, ensuring timely payments and collections while maintaining detailed records.
Prepare financial reports, including balance sheets, income statements, and cash flow statements in accordance with GAAP (Generally Accepted Accounting Principles) and other accounting standards.
Conduct bank reconciliations and general ledger reconciliation to ensure accuracy of financial data.
Assist with budgeting processes, expense tracking, and financial analysis to support organizational planning.
Support governmental and non-profit accounting requirements by maintaining compliance with applicable regulations and standards.
Perform account analysis, account reconciliation, and review of debits & credits to ensure integrity of financial data.
Maintain meticulous records of all financial transactions, supporting documentation, and audit trails for internal review or external audits.
Handle administrative tasks such as managing correspondence, scheduling meetings, preparing reports, and maintaining filing systems to support operational efficiency.

Skills

Extensive experience with accounting software such as QuickBooks (including QuickBooks Online), Xero, Sage, or similar platforms; proficiency in financial software is essential.
Strong knowledge of corporate accounting principles, governmental accounting practices, non-profit accounting standards, and GAAP compliance.
Demonstrated ability in double entry bookkeeping, journal entries, bank reconciliation, accounts payable/receivable management, and general ledger accounting.
Proficiency in spreadsheets (Excel or Google Sheets), including advanced functions like account analysis and budgeting tools.
Familiarity with payroll processing procedures and tax experience related to payroll taxes is highly desirable.
Ability to perform account reconciliation accurately while adhering to internal controls and accounting standards.
Excellent understanding of financial concepts such as debits & credits, balance sheet reconciliation, account analysis, and financial report writing.
Strong organizational skills with the ability to manage multiple tasks efficiently; experience with 10-key typing is a plus.
Knowledge of public accounting practices or governmental accounting is advantageous for this role.
Effective communication skills for collaborating across departments while maintaining professional integrity in all financial dealings.
