Montana Estate Lawyers, P.C., exists to transform our clients, their families, and the community. We regularly hold staff meetings to review incoming clients, staff schedules, and any policy changes. Our staff have one day retreats quarterly that are held outside the office. We are seeking a full-time legal assistant/general office assistant for our estate planning and estate administration practice. We seek a positive, responsible, and professional team member to perform a variety of administrative and legal assistant tasks in support of the attorneys and other team members, including confidential client work and managing daily office needs and activities.
About You
You have one or more years’ experience as a legal secretary or administrative assistant. You have a positive outlook, a sense of responsibility and a professional demeanor. You are client-centered and service-minded. You enjoy client interaction and genuinely helping people. You have excellent verbal and written communication skills. You like to plan out your workday, but you’re flexible to pivot when necessary. You follow procedures and offer suggestions if you think there may be an improvement. You are searching for a long-term career and not just a job.
Your primary responsibilities include but are not limited to:
- Answering and directing phone calls
- Client intake
- Attending client meetings as needed and taking detailed notes
- Organizing confidential client asset information
- Drafting documents, memoranda and correspondence of all types relating to estate planning and trust and estate settlement
- Maintaining files
- Scheduling appointments
- Communicating with and providing broad support to clients and third parties
- General office duties as assigned
Your Qualifications
- Ability to work comfortably under close supervision when needed and to perform unsupervised work following established systems and procedures, all while maintaining client confidentiality
- Effective communication skills, both verbal and written
- Experience with Microsoft Office suite
- Above average attention to details when drafting documents and correspondence, inputting information collected, verifying that information, and following up to obtain missing information needed to get the job done
- Service-minded and team-oriented
- Preferably you will have experience with a law firm, accounting office, real estate office, title company, bank, or financial institution, preferred but not mandatory
Salary depends on your experience and qualifications.
